About The Position

Impactual LLC is seeking an organized and eager individual to support its staff and clients with scheduling, logistical planning, and coordination. This role involves managing calendars, coordinating domestic travel, preparing meeting materials, drafting correspondence, screening communications, organizing meetings and events, tracking action items, supporting projects, maintaining records, serving as a liaison, and assisting with office operations and administrative systems. The position is for a fully remote team, requiring the candidate to be located within the continental United States and available during specific Eastern Time hours. Travel for work is expected approximately 3-5 times per year.

Requirements

  • Managed the calendar of 1 or more busy professionals
  • Ability to organize, track, and respond to incoming requests with 100% follow through
  • Strong organizational, time management, and problem-solving skills
  • Meticulous attention to detail
  • Ability to work well with Google Sheets
  • Ability to review something twice before completing it
  • Proactively take ownership over job duties, ask for help, anticipate problems, and propose solutions for efficient execution
  • Ability to give and receive helpful, constructive feedback with positive intention
  • Handle highly sensitive information with discretion and professionalism
  • Represent the firm professionally in all interactions
  • Must be located within the continental United States
  • Must be online and available between the hours of 9am and 6pm ET

Responsibilities

  • Manage team calendars, scheduling, and prioritization of meetings
  • Coordinate domestic travel arrangements
  • Prepare agendas, presentations, reports, and meeting materials
  • Draft and manage correspondence and communications
  • Screen and prioritize emails, calls, and requests
  • Organize leadership meetings and staff events
  • Track action items and follow up on deadlines
  • Support cross-functional projects and operational initiatives
  • Maintain records, documentation, and filing systems
  • Serve as a liaison between executives, employees, clients, and external partners
  • Maintain professionalism and confidentiality in all interactions
  • Support internal communication and executive messaging
  • Assist with office operations and vendor coordination
  • Improve administrative systems and workflows
