About The Position

At NorthBay Health, the Executive Assistant is responsible for providing administrative support to senior leaders and as assigned, direct reports in a variety of capacities including management of the executive calendars, meetings and assistance on special projects to meet organizational strategic goals and objectives; conducts e vent and meeting planning, assists with meeting activities, manages correspondence, and composes a variety of documents/reports. This position is in the corporate office and supports the SVP, Chief Administrative Officer and the SVP, Chief Transformation and Integration Officer.

Requirements

  • Bachelor’s degree preferred.
  • Notary Public preferred.
  • Minimum of five years of experience supporting top level management/ executive.
  • Excellent oral/written communication skills .
  • Demonstrated ability to handle multiple tasks simultaneously.
  • Exceptional organizational skill; ability to meet designated deadlines.
  • Possess a high degree of proficiency with MS Office suite.
  • Demonstrates advanced computer skills; develops PowerPoint presentations, Excel spreadsheets, composes a variety of correspondence and reports (MS Office).
  • Strong writing & proofreading skills
  • Ability to maintain the highest level of confidentiality; demonstrates discretion handling sensitive material/matters concerning the organization and personnel matters.
  • Displays excellent customer service skills.
  • Works independently and collaboratively with minimal supervision utilizing a high level of motivation, initiative, good judgment, and diplomacy in a diverse business environment.
  • Requires outstanding interpersonal skills including problem solving and critical thinking, excellent communication and diplomacy skills, able to handle multiple projects, set up complex meetings.

Responsibilities

  • Assists executives in the management his/her respective schedule.
  • Assists the executive in variety of capacities to meet organizational strategic goals and objectives.
  • Coordinates the MCS contract signature process, maintains contract filing systems, completes documents for health plans, coordinates mass mailing projects, and conducts internet searches for information.
  • Interfaces with health plan representatives.
  • Assists with other projects as requested.
  • Supports activities of assigned committees; prepares materials for meetings; coordinates follow-up.
  • Attends a variety of meetings; assists with special projects.
  • Demonstrates ability to manage multiple priorities; meet designated deadlines.
  • Handles telephone calls and other forms of communication; performs routine office functions.
  • Performs notary services for NorthBay Health and its employees if certified.
