About The Position

This role involves performing a variety of administrative and clerical tasks, as well as financial and human resources administration. The Executive Assistant provides professional support to one or more Managers and their direct reports, ensuring all administrative and operational processes and control standards are followed. The position also focuses on identifying, developing, and implementing improvement opportunities to contribute to the effective and efficient operation of the business group. Key aspects include providing high-level administrative, operational, and strategic support to senior Capital Market executives, acting as a trusted partner for business priorities, and contributing to continuous improvement of administrative processes within the Bank's governance, risk, and compliance frameworks.

Requirements

  • Typically 5+ years of relevant experience in an administrative/ professional support function, demonstrating progressive responsibility
  • Post-secondary degree in related field of study
  • Specialized knowledge from education and/or business experience
  • In-depth verbal & written communication skills
  • In-depth collaboration & team skills
  • In-depth analytical and problem solving skills
  • In-depth influence skills
  • Fluent in French and English to support business operations outside the province of Quebec

Responsibilities

  • Performs a variety of administrative and clerical tasks
  • Performs financial and human resources administration
  • Provides professional support to one or more Managers and their direct reports
  • Provides general offices services ensuring all administrative and operational processes and control standards are followed
  • Seeks to determine, develop, and participate in implementation of improvement opportunities
  • Contributes to the effective and efficient operation of the business group
  • Provide high-level administrative, operational and strategic support to senior Capital Market executives
  • Act as a trusted partner in support of business priorities and strategic initiatives
  • Analyze complex information and produce relevant reports, dashboards and recommendations
  • Manage complex calendars, high-level meetings and events related to Capital Market activities
  • Co-ordinates the planning and execution of customer and internal events
  • Support the preparation of professional communications (presentations, correspondence, executive documents)
  • Track budgets, expenses, invoices and reimbursements in conjunction with governing policy
  • Organize business travel (flights, hotels, logistics) for management
  • Maintain effective and structured tracking, classification and information management systems
  • Work closely with internal teams, business partners and external suppliers
  • Support operational challenges related to office premises, resources, and logistics
  • Coach and mentor less experienced administrative Assistants
  • Actively contribute to the continuous improvement of administrative processes
  • Act within the Bank's governance, risk and compliance frameworks
