Executive Assistants provide secretarial/administrative support. Role holders will exercise confidentiality, tact and diplomacy skills and will have sufficient expertise in their area to deputies for their superior and/or actively participate in meetings. They may also oversee small projects and have minor decision-making authority/autonomy. As our Executive Assistant, you will:

Requirements

  • Responsive and consistent follow-up
  • Experience assisting with logistics, invoices, registration, set-up, gifts and entertainment reporting
  • Microsoft office skills: Outlook, Excel, PowerPoint, SharePoint, etc
  • Align timelines with expenses, travel, and meeting requests with clients and prospects
  • Team-player who can jump in on tasks when needed

Responsibilities

  • Organize schedules, maintain diaries, arrange travel and accommodation
  • Coordinate activities, events, resources, meetings, services and manage internal and external stakeholders
  • Support administration by composing presentations, drafting reports and assisting with key documents such as business plans
  • Act as a deputy at meetings and make decisions on matters relating to the business area
  • Manage external relationships and service providers
  • Serve as the gatekeeper or primary point of contact for the area
  • Adhere to HSBC policies and maintain confidentiality on sensitive activities in the remit area
