About The Position
UW MEDICINE’S AMBULATORY EXECUTIVE OFFICE has an outstanding opportunity for a full-time EXECUTIVE ASSISTANT TO THE CHIEF AMBULATORY OFFICER. This role independently ensures smooth department operations through highly confidential and professional executive support, necessitating a high degree of tact, discretion and diplomacy.
Requirements
- Bachelor's Degree in Business Administration, Communications, Healthcare Administration, or related degree
- 5 years’ experience supporting a C level executive.
- Equivalent experience may substitute for degree requirement
Responsibilities
- Independently plan, coordinate, and implement policies and procedures to support the Chief Ambulatory Officer (CAO) and the Chief Nursing Officer (CNO), so that all regulatory requirements are met
- Acts as a communication liaison with UW Medicine leadership and community leaders as needed
- Communication and Liaison with various stakeholders, ensuring clear conveyance of the CAO’s messages and managing feedback appropriately
- Operate independently, make decisions and take actions with delegated authority to support high-level executives, including the CAO
- Managing time-sensitive communications, which requires the ability to quickly and accurately convey information to various audiences
- Meeting the demands of competing stakeholders, each with unique needs and expectations
- This role requires outstanding writing abilities and the ability to communicate verbally with senior leaders, staff, and the general public
- Records, composes and edits minutes of meetings as requested
- Independently managing both short-term tasks and long-term projects
- Handling highly confidential and sensitive information with the utmost discretion and professionalism
- Serves as a confidential liaison to the Chief Ambulatory Officer and manages the executive calendar and coordinates day-to-day activities of the Chief Ambulatory Office
- Independently arranges and coordinates committee meetings, special events, open forums, and other hospital activities
- Schedules appropriate accommodation, orders/operates equipment, and coordinates logistical activities as needed
- Utilizing various software and tools for document preparation, calendar management, and communication
