About The Position

Greystone is seeking an experienced, highly organized Executive Assistant to support a senior executive who leads one of the firm's multifamily and healthcare lending platforms, with 120 team members. This is a high-trust role that blends executive business support with personal assistance in an approximately 50/50 split. The ideal candidate treats the work as a craft — proactive, discreet, and equally comfortable navigating complex business priorities and personal or family logistics, while also being a warm, visible presence for the broader team.

Requirements

  • 5+ years as an Executive Assistant, Personal Assistant, or comparable role, including experience supporting a senior executive or demanding principal.
  • Willingness to support both business and personal matters in an approximately 50/50 split.
  • Strong employment history reflecting reliability and longevity, with a proven track record of following through quickly and flagging issues before they become problems.
  • Exceptional organization, time management, and judgment — sound instincts for discretion, priorities, and calm execution under shifting plans.
  • Excellent written and verbal communication skills, strong interpersonal instincts, and the ability to build relationships with individuals at all levels.
  • Curious, warm, and process-minded ---genuinely interested in the business, always looking for smarter ways to do the work, and comfortable turning a rough idea into a structured plan.
  • Comfortable working independently, taking ownership from beginning to completion, and shifting between high-level business projects and practical personal requests.
  • Adaptable and team-oriented, with a willingness to take on responsibilities of varying scope and the confidence to help keep the executive aligned with established priorities.
  • Tech-forward — advanced Microsoft Office/Teams skills, genuine interest in using AI to work smarter, and quick to learn new systems (Workday experience a plus).

Nice To Haves

  • Experience working in an organization that runs on EOS (Entrepreneurial Operating System) is a plus.

Responsibilities

  • Manage a complex, frequently shifting calendar spanning business, personal, and family commitments; serve as a thoughtful and confident gatekeeper who protects the executive’s time and prioritizes competing demands.
  • Prepare the executive for meetings (background materials, agendas, follow-up items); attend select meetings to take notes and track action items to completion.
  • Coordinate business and personal travel, meetings, and event logistics, including preparing materials and agendas and tracking follow-up items.
  • Manage inbox and draft correspondence, presentations, and reports on the executive’s behalf; prioritize and categorize emails, ensure timely follow-up.
  • Process business and personal expenses, invoices, and approvals; handle insurance submissions and other personal forms.
  • Support ongoing projects and special business initiatives, by tracking deadlines, next steps, and responsible parties.
  • Produce the Origination Podcast (recording, editing, publishing) and manage Salesforce reporting.
  • Communicate weekly platform updates to leadership (CEO, chiefs of staff) and maintain a shared project tracker (e.g., Microsoft Planner).
  • Coordinate platform events with Marketing team, plus organize occasional ad-hoc local events.
  • Support onboarding logistics for new hires.
  • Serve as a warm, visible presence on the floor — helping new employees settle in, building relationships, and surfacing morale or dynamics worth knowing about.
  • Handle sensitive business and personal information with discretion and take ownership of ad hoc projects as they arise.
