About The Position

Performs a wide variety of administrative tasks in support of a top executive. This role requires maintaining the executive's calendar, scheduling appointments, arranging meeting rooms, and making travel plans. The Executive Assistant will also prepare agendas and presentations, attend meetings to take minutes, and prepare and submit expense reports. Key responsibilities include screening visitors, phone calls, emails, and physical mail, while maintaining strict confidentiality of sensitive information. Other duties may be assigned as needed.

Requirements

  • 5+ years of relevant and progressively responsible experience; Associate degree preferred; or equivalent combination of education and experience to provide demonstrated qualifications for this position
  • Demonstrated ability to self-manage time and priorities, provide support to a variety of different managerial styles and meet expectations of multiple people
  • Ability to handle fairly constant medium to high level of pressure to perform and high level of accuracy
  • Ability to maintain high levels of customer service in conducting daily activities, communications and interactions with all levels within the organization
  • Ability to act in a courteous and professional manner and display courtesy to internal and external customers, vendors and others in all interactions
  • Strong listening skills and the ability to demonstrate sensitivity toward others
  • Ability to protect the confidentiality of information at an advanced level for all legal, financial, employee, computer or other sensitive information or material
  • Expert proficiency in all Microsoft Office products including Word, Excel, PowerPoint, Outlook (or similar e-mail system)
  • Ability to use calculator, office machines, computer, photocopier, fax machine and word processing equipment
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to write reports, business correspondence, and procedure manuals

Responsibilities

  • Maintains the executive's calendar - schedules and confirms appointments, arranges for meeting rooms or facilities, makes and confirms travel plans.
  • Prepares agendas or presentations, attends meetings with the executive, and takes, transcribes, and distributes notes or minutes.
  • Prepares and submits expense reports on behalf of the executive.
  • Screens visitors, phone calls, emails, or physical mail.
  • Maintains confidentiality of sensitive information.
  • Other duties as assigned
