About The Position

The New York Times is seeking an executive assistant to support several leaders of visual desks, ensuring they can operate effectively. This role requires the ability to represent these leaders both internally and externally in a manner that corresponds to the professional nature of the newsroom departments. It is a critical support role for all operational and administrative functions, requiring strong organization skills as the assistant will work with newsroom leadership teams across the company. The ideal candidate is motivated by helping others, finding solutions, and thinking ahead. They should be a quick study, a strong communicator, and enjoy excelling in a dynamic environment. The role demands diplomacy, calmness, a welcoming attitude towards challenges, and creative problem-solving. The ability to anticipate, adapt to change, and manage multiple tasks simultaneously is essential. This is an in-office position based in New York, requiring regular attendance in the office four days each week, typically Monday through Thursday, subject to editors' schedules and business needs.

Requirements

  • 3+ three years of industry experience, providing administrative support for a senior executive
  • Bachelor's degree or equivalent years of professional experience

Responsibilities

  • Provide operational and administrative support to leaders
  • Manage busy calendars, including vetting and prioritizing meeting requests and coordinating small and large meetings and, on occasion, travel bookings
  • Be highly responsive to requests and changing schedules and priorities
  • Handle a heavy volume of requests from all stakeholders including answering inquiries, resolving problems, and making appropriate referrals
  • Collaborate with the recruitment team to streamline and expedite interview scheduling, particularly during periods of high hiring volume
  • Maintain a high degree of confidentiality on all matters
  • File all expenses for reimbursement on behalf of your assigned editors
  • In coordination with operations staff, plan events including town halls, lunches, dinners and social gatherings
  • Maintain relationships with important contacts of all levels within and outside of the company and act as a liaison
  • Occasionally assist with research, prepare editors for internal meetings, or create clear and well-designed presentations and decks
  • May be asked to track priorities and projects for the executive, making sure they are on task
