About The Position

The Executive Assistant to the Vice President of Technical Education and Workforce Development provides high-level support to the Vice President and GVBOCES Board, assisting in the advancement of CMU Tech’s priorities and goals. This role is responsible for the central coordination of activities and ensuring timely flow of information to and from the Vice President’s Office and GVBOCES Board. The position supports the Vice President in strategic execution of initiatives related to the mission, vision and values of CMU Tech, serving as a trusted resource and representative to internal and external stakeholders. It oversees the efficient functioning of the Vice President’s office, including support and direction of the management of the Vice President’s schedule. The role also involves coordinating and clarifying assignments among offices and programs, tracking institutional priorities and the status of key projects, handling queries on behalf of the Vice President, and leading special projects. Additionally, the Executive Assistant acts as a liaison with the CMU Tech community, service organizations, GVBOCES Board, and other agencies, and establishes communication channels among committees, the CMU Tech Curriculum Committee, and administrative offices. The role also serves as CMU Tech’s liaison to the HR Department and assists with employee engagement and campus culture initiatives. Requirements

  • Minimum of one year of experience in an administrative support role working with a C-level leader.
  • Demonstrated ability to organize, plan and manage complex logistics at a high level.
  • Demonstrated customer service and interpersonal skills.
  • Proven ability to work independently and under pressure while maintaining a highly professional demeanor with utmost discretion.
  • Excellent communication skills, both verbal and written are essential.

Nice To Haves

  • Bachelor’s Degree from an accredited college or university.
  • Five years’ experience in a direct supportive relationship with a senior leadership in an institution of higher education, a governing board or similar organization.

Responsibilities

  • Support the Vice President as a liaison to the GVBOCES Board and coordinate meetings of the Board, the CMU Tech Cabinet, Standing Committee Meetings, GVBOCES orientation programs and other related Board activities.
  • Draft agendas, schedules, notices, minutes, and resolutions of the GVBOCES Board meetings, in conjunction with the Vice President, as well as other meetings hosted by the Vice President as needed.
  • Organize meetings, including scheduling, sending reminders, and organizing catering.
  • Maintain all relevant materials for Committees and Board meetings.
  • Coordinate the archiving of all Board and Committee files.
  • Possess an understanding of the role of GVBOCES board members and their expected priorities on behalf of CMU Tech, as well as their concerns and needs through attending seminars and staying current on publications and other materials.
  • Manage and oversee the production of consistent, accurate, and visually appealing informational materials, both electronic and printed, such as GVBOCES Board handbooks, Board meeting packets, Board Orientation materials and other informational and management materials necessary for effective Board committee operations.
  • Performs other duties and responsibilities as assigned or directly related to the GVBOCES Board.
  • Support the Vice President in strategic execution of initiatives related to the mission, vision and values of CMU Tech.
  • Extend the Vice President’s reach by serving as a trusted resource and representative to internal and external stakeholders.
  • Oversee efficient functioning of the Vice President’s office including support and direction of the management of the Vice President’s schedule.
  • Confirm objectives for cabinet team meetings and recommend participants and approach.
  • Coordinate and clarify assignments among offices and programs including assigning responsibilities to carry-out and execute decisions made in cabinet team meetings and ensure follow-up and accountability for those assigned responsibilities.
  • Track institutional priorities and status of key projects and initiatives.
  • Handle queries, questions, concerns, and requests on behalf of the Vice President.
  • Develop and maintain an inventory of critical path projects undertaken by the Vice President’s office and cabinet.
  • Proactive identification of issues that could impact the execution of initiatives.
  • Independent leadership of special projects assigned by the Vice President.
  • Act as liaison with the CMU Tech community, service organizations, GVBOCES Board, and other agencies to provide communication of events, activities or interface of resources.
  • Establish and maintain channels of communication among committees, CMU Tech Curriculum Committee, and administrative offices of CMU Tech.
  • Serve as CMU Tech’s liaison to the HR Department.
  • Develop and build relationships to serve as a resource for the Vice President and point of contact as designated for key constituents to resolve complex issues and help move forward strategic priorities.
  • Serve as CMU Tech’s culture advocate and support the Vice President’s strategy for intra-campus culture development.
  • Manage details of events sponsored by CMU Tech and/or hosted for CMU Tech employees, including scheduling, sending communications, completing room reservations, ordering supplies, and organizing catering, as necessary.
