About The Position

Regis Jesuit High School is seeking an Executive Assistant to the President to begin July 2026. This is a year-round, full-time, non-exempt position. The Executive Assistant (EA) serves as a strategic partner to the President, Board of Trustees, and President’s Leadership Team, providing comprehensive support to advance the school’s strategic priorities through effective meeting and travel coordination, event planning, philanthropic initiatives, budgeting, and relationship building. The EA exercises independent judgment in prioritizing workflows, managing sensitive communications, and ensuring that institutional goals are supported through effective executive operations. This role requires discretion, foresight, and the ability to make informed decisions on behalf of the President, while upholding confidentiality and advancing organizational strategy and priorities.

Requirements

  • Bachelor’s degree preferred, or equivalent combination of education and experience.
  • Demonstrated ability to exercise independent judgment, discretion, and decision-making in support of executive leadership.
  • Superb written and interpersonal communication skills, with ability to represent the President and organization with professionalism.
  • Strong time-management skills with capacity to organize, prioritize, and coordinate multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite, database management, and other productivity tools; aptitude for learning new software and systems.
  • Experience supporting Board governance and preparing Board materials.
  • Ability to plan and manage executive-level events and coordinate with personnel, guests, catering, facilities, and A/V teams.
  • Flexible, mission-driven professional with a collaborative spirit, adaptability, and commitment to confidentiality.

Responsibilities

  • Attend meetings and provide support to the President’s Leadership Team (PLT) and Board of Trustees (BOT) and subcommittees as directed, to ensure that institutional goals and objectives are met.
  • Serve as a trusted advisor and extension of the President.
  • Represent the President with professionalism and a welcoming, customer service–oriented approach; serve as the official liaison for VIPs and all President’s Office guests.
  • Maintain and refine communications and processes that strengthen the work of the PLT, BOT, key staff, and external partners.
  • Plan, prioritize, and orchestrate executive-level workflows to ensure strategic priorities are met, goals are achieved, and organizational best practices are upheld.
  • Exercise initiative and discretion in managing the President’s, PLT, BOT and committee schedules, communications, and decision-making workflow.
  • Evaluate priorities, delegate tasks, and guide workflows across departments, ensuring timely and accurate execution of initiatives.
  • Relieve the President of operational and administrative details by managing high-level activities requiring in-depth knowledge of school policies, organizational operations, and strategic objectives.
  • Manage professional and personal scheduling for the President, including agendas, mail, email, calls, travel arrangements, donor/prospect management, and other logistics.
  • Conduct research and prepare briefings for the President, particularly for high-level meetings with trustees, donors, and external partners.
  • Oversee complex scheduling and calendar management for President, PLT, BOT & Board Committees and parent association, ensuring strategic priorities are maintained and competing demands are balanced.
  • Lead planning and coordination of a multitude of executive meetings, retreats, and small to large special events/meetings involving personnel and outside constituents.
  • Manage event budgets; make purchases, pay invoices and make deposits for events; reconcile expenses with the Business Office.
  • Manage event vendor relationships and act as the Regis Jesuit liaison to event vendors.
  • Oversee travel logistics, budgets, and expense management for the President and the President’s Office.
  • Collaborate with other school departments on event support needed, including facilities, pastoral and student involvement.
  • Provide follow-up from PLT and BOT meetings, monitor progress of action items, and independently advance priorities without direct oversight.
  • Draft, edit, and prepare correspondence, presentations, and reports on behalf of the President, often containing sensitive or confidential information.
  • Support advancement and fundraising efforts by coordinating with internal teams and external constituents.
  • Record and maintain official minutes for BOT meetings, track election of and coordinate onboarding/orientation for trustees and maintain rosters for BOT and Board committees.
  • Act as custodian of confidential information, maintaining discretion in all matters.
  • Provide support for scheduling conference rooms and A/V needs for meetings.
