We are seeking a highly intelligent, resourceful, and exceptionally organized Executive Assistant to support the Director of Technology at MD Capital. This role requires someone who thrives in a fast-paced environment, can anticipate needs, think several steps ahead, and handle complex tasks with minimal direction. The ideal candidate is proactive, detail-oriented, tech-savvy, and able to manage sensitive information with absolute confidentiality.

Requirements

  • 3–7 years of experience supporting a senior executive in a fast-paced environment.
  • Exceptional written and verbal communication skills.
  • High intelligence, strong reasoning ability, and excellent judgment.
  • Ability to manage competing priorities while maintaining precision and follow-through.
  • Strong proficiency with Microsoft Office, and modern productivity tools.
  • Ability to maintain absolute confidentiality and operate with discretion.

Responsibilities

  • Serve as the primary support person for the Director of Technology, ensuring smooth day-to-day operations.
  • Anticipate needs, gather information in advance, and prepare materials without being asked.
  • Manage calendars, schedule meetings, and coordinate communications across multiple departments and stakeholders.
  • Prioritize and triage incoming requests to protect the executive’s time and maximize productivity.
  • Prepare briefs, and follow-ups from meetings.
  • Track progress across multiple ongoing initiatives, ensuring deadlines are met and follow-ups are completed.
  • Assist in organizing cross-departmental workflows, including coordination with IT, Finance, Operations, and external vendors.
  • Maintain project documentation, statuses, and action items.
  • Identify issues proactively and offer thoughtful, well-reasoned solutions.
  • Conduct research, summarize findings, and prepare recommendations.
  • Understand business priorities and filter information accordingly.
  • Draft clear, concise, and professional emails, summaries, and memos.
  • Interface with senior leadership, physicians, internal teams, and external partners on behalf of the Director.
  • Ensure consistent messaging and follow-through across all communications.
  • Assist with technology-related tasks such as workflow organization, system access requests, vendor follow-ups, and light technical troubleshooting.
  • Help translate complex information into structured presentations or documents.
  • Comfortably use Excel, PowerPoint, task management systems, and collaboration tools.
