About The Position

We are seeking a highly organized, discreet, and proactive executive assistant to support the Chief Legal Officer (CLO) in a dynamic and demanding environment. The successful candidate will play a key role in the smooth operation of the CLO’s office by managing complex schedules, coordinating certain legal and governance activities, and supporting several strategic initiatives of the legal department.

Requirements

  • DEC in secretarial studies or any other relevant degree
  • At least 5 years of experience in an executive assistant role.
  • Proven ability to work independently with sound judgment and discretion.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities under pressure.
  • Strong interpersonal skills and a collaborative spirit.
  • Exemplary integrity and strict adherence to confidentiality.
  • Excellent written and oral communication skills in French and English.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
  • Ability to draft, review, and translate documents in English and French.
  • Flexibility and ability to adapt to a constantly changing environment.
  • Bilingualism required (Advanced French and English) both spoken and written, as the person will be required to work and communicate regularly in English while performing the tasks outlined above. Specifically, the role requires collaboration with global teams.

Responsibilities

  • Manage the CLO’s schedule, meetings, travel, and communications, including sensitive and confidential information.
  • Screen and prioritize emails and calls; draft and manage correspondence.
  • Prepare, format, and review documents, reports, and presentations.
  • Coordinate and track expense reports.
  • Assist in organizing events, conferences, and internal initiatives for the legal team.
  • Support the planning and monitoring of the legal affairs budget.
  • Collaborate with the CLO on various strategic projects and initiatives within the department.
  • Follow up on action items and ensure their timely completion.
  • Assist in preparing and organizing meetings and certain documents for the Board of Directors and its committees.
  • Manage meeting logistics and travel arrangements for certain Board members.
  • Organize and coordinate meetings under the CLO’s supervision, including agendas, minutes, and follow-ups.
  • Maintain smooth communication between the CLO’s office, internal teams, and external stakeholders.
  • Perform any other administrative tasks required to support the CLO and the legal team.
