We are seeking an accomplished Executive Assistant to support our Chief Executive Officer and Chief Operating Officer. This is a highly visible role at the center of the organization, working closely with our executive leadership team, Board members, physicians, community partners and other key stakeholders. We are looking for more than someone who can manage a calendar and keep things organized. We want a trusted partner who is polished, confident and highly capable, while also being personable, approachable and enjoyable to work with. Requirements

  • Associate degree or comparable professional experience in lieu of a degree.
  • 10 or more years of progressively responsible administrative or executive support experience preferred.
  • Experience supporting a CEO, President, COO, C-suite executive, or other senior leader strongly preferred.
  • Experience working with a Board of Directors, governance activities, or senior leadership teams is preferred.
  • Exceptional organizational skills with the ability to manage multiple competing priorities and deadlines efficiently.
  • Strong critical-thinking skills and the ability to anticipate needs, identify potential challenges and independently develop solutions.
  • Confidence and professional presence, with the ability to appropriately manage competing requests, ask questions and respectfully push back when necessary.
  • Excellent written and verbal communication skills with strong attention to detail.
  • High level of discretion and demonstrated ability to handle confidential and sensitive information.
  • Advanced proficiency with Microsoft 365, including Outlook, Teams, Word, Excel and PowerPoint.
  • Comfort using technology to improve productivity and a willingness to embrace emerging tools, including artificial intelligence.
  • Ability to quickly learn new systems, processes and technologies.
  • Strong relationship-building skills and the ability to interact comfortably with executives, Board members, physicians, employees and community partners.
  • A proactive working style — you notice what needs to be done and take action without waiting to be directed.
  • Ability to remain composed, flexible and effective in a fast-paced environment where priorities may change quickly.
  • Professional, personable and kind, with a collaborative approach and the ability to bring positive energy to the team.
  • A sense of humor and the ability to be lighthearted when appropriate while maintaining the professionalism expected of the Executive Office.

Responsibilities

  • Serve as a trusted partner to the CEO and COO, anticipating needs, managing priorities and helping ensure commitments and key initiatives move forward.
  • Strategically manage complex executive calendars, evaluating competing requests and confidently determining priorities while maintaining positive relationships.
  • Coordinate executive meetings, events, travel and other engagements, ensuring leaders have the information, materials and preparation needed to be successful.
  • Serve as a key liaison with the Board of Directors, executive leadership team, physicians, community leaders and other internal and external partners.
  • Coordinate Board and governance activities, including agendas, meeting materials, communications, records and follow-up.
  • Draft, edit and prepare executive communications, presentations, reports, briefing materials and correspondence.
  • Track decisions, commitments, deadlines and action items and proactively follow up to help keep work moving.
  • Lead and coordinate executive-level projects, gathering information, organizing stakeholders and ensuring details are carried through to completion.
  • Use technology and emerging tools, including AI-enabled solutions, to streamline work, improve efficiency and enhance executive support.
  • Exercise sound judgment when handling confidential, sensitive and business-critical information.
  • Identify potential issues, ask thoughtful questions and confidently raise concerns or recommend a different approach when appropriate.
  • Build strong relationships across the organization and contribute positively to the culture of the executive team.
  • Bring professionalism to every interaction while also knowing when a little humor and lightheartedness can make a busy day better.
