About The Position

The Executive Assistant to the CEO serves as a high-impact strategic and administrative partner, enabling the CEO’s effectiveness, prioritization, and execution across a complex, global organization. This role requires strong business acumen, sound judgment, and the ability to anticipate needs in a fast-paced, high-pressure environment. As a central hub for coordination and communication, the Executive Assistant ensures alignment to business priorities, seamless CEO office operations, and effective engagement with senior leadership, the Board of Directors, and external stakeholders.

Requirements

  • Strong organizational, prioritization, and time-management skills
  • Demonstrated project management and cross-functional coordination experience
  • Proven ability to manage highly confidential information with discretion
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
  • Demonstrated ability to operate in high-pressure, fast-paced environments
  • Strong sense of urgency with a consistent track record of execution and follow-up
  • Applies sound judgment and discretion in high-visibility, sensitive situations
  • Anticipates needs and independently drives actions
  • Performs effectively under pressure and adapts to shifting priorities
  • Delivers high-quality work with strong organization and attention to detail
  • Communicates effectively across all levels and influences outcomes
  • Proven experience supporting C-suite executives, ideally a CEO
  • Experience in global, matrixed organizations
  • Exposure to Board-level interactions and executive operations
  • Background in mid-to-large, fast-paced organizations preferred

Responsibilities

  • Manage and optimize a highly complex, high-volume CEO calendar, ensuring alignment with strategic priorities
  • Serve as the primary gatekeeper of the CEO’s time, balancing competing demands and priorities
  • Coordinate global travel logistics with precision, including itineraries and contingency planning
  • Prepare meeting materials, including agendas, presentations, and executive briefing documents
  • Track action items, deliverables, and deadlines to ensure timely follow-through and accountability
  • Optimize meeting cadence, preparation, and follow-ups across all engagements
  • Coordinate Board and committee activities, including scheduling, materials, and logistics
  • Support executive leadership meetings, forums, and company operating rhythms (e.g., monthly operating reviews)
  • Ensure readiness for Board-level and executive discussions through thorough preparation and coordination
  • Support CEO agenda planning to ensure focus on highest-impact business priorities
  • Assist with planning and execution of town halls, leadership events, and key communications
  • Coordinate logistics for investor-related activities
  • Drive efficiency through workflow coordination and process improvements
  • Proactively identify issues, risks, and conflicts, recommending solutions and adapting to shifting priorities
  • Operate effectively in areas that extend beyond traditional EA responsibilities as business needs evolve
  • Serve as a primary point of contact for the CEO’s office
  • Engage effectively with senior executives, Board members, and external partners
  • Navigate a global, matrixed environment across time zones
  • Build relationships to enable alignment and effective coordination
