About The Position

This role involves assisting the President by working with members of the executive staff on assignments and independently administering matters as required in a timely and professional manner. The position also involves conducting matters pertaining to the President and Scottish Rite for Children Board of Trustees in an efficient and professional manner, assisting and interacting with the Chairman of the Board and trustees whenever needed, and managing correspondence for the Chairman when appropriate. The Executive Assistant will manage and maintain the CEO’s calendar, meetings, appointments, calls, and commitments, prepare meeting notes, agendas, summaries, and supporting documents, and handle special projects for the President as requested on a timely and efficient basis. This includes handling requests from trustees, community members, volunteers, and staff in order to uphold the mission of the hospital. Maintaining confidentiality and professionalism is paramount.

Requirements

  • Executive Assistant to a senior executive – preferably a CEO in a large or mid-sized healthcare environment
  • Proven ability to manage complexity, competing priorities, and sensitive information in a fast-paced, evolving environment with a high attention to detail
  • Strong calendar management skills with the ability to take accurate and detailed meeting notes and minutes
  • Proficiency with Microsoft Office, Teams, Outlook, calendars, spreadsheets, and shared electronic filing systems
  • Exceptional organizational, written, and verbal communication skills
  • Strong judgment, discretion, and personal integrity
  • Ability to anticipate needs and operate with increasing autonomy; discerning what can be delegated, what and when to escalate to CEO

Responsibilities
