Martin Brower is seeking a proactive and highly capable Executive Assistant to support CEO Sarah Burke while also partnering closely with the Vice President, Corporate Affairs. This role sits at the center of a fast-moving executive environment and is designed to ensure both executives can operate efficiently and remain focused on the organization’s highest priorities. The majority of the role will focus on supporting the CEO’s schedule, travel, and key engagements, while also providing meaningful support to the VP, Corporate Affairs across communications coordination, executive meetings, and company events. Beyond traditional administrative support, this position serves as a trusted operational partner responsible for coordinating complex logistics, preparing principals for important engagements, and helping introduce systems and processes that improve how the executive office operates. The ideal candidate brings strong judgment, organization, and the ability to operate independently in a dynamic environment, while actively experimenting with and adopting new technologies to improve efficiency and reduce manual processes. This role offers significant visibility into the leadership team and is well suited for someone who enjoys working at a fast pace while continuously looking for ways to improve how work gets done. Sarah operates with a strong emphasis on preparation, organization, and forward planning. She prefers to look several weeks ahead to ensure travel, meetings, and engagements are thoughtfully coordinated and aligned with priorities. She values autonomy, sound judgment, and innovation in her support team. Rather than requiring constant check-ins or presenting multiple options, she prefers a partner who can assess situations, make informed decisions, and move forward confidently. Sarah works at a fast pace and maintains a high standard for execution. At the same time, she values direct communication, transparency, and collaboration. The ideal partner will focus on solving problems, coming prepared, and helping ensure meetings and engagements run smoothly, while actively using AI and technology to reduce manual effort, improve efficiency, and shorten planning cycles.

Requirements

  • Experience supporting a senior leader or executive in a fast-paced professional environment
  • Strong organizational skills and ability to manage multiple priorities simultaneously
  • Ability to operate independently and make sound decisions without constant direction
  • Strong communication skills and comfort interacting with senior leaders and external stakeholders
  • High level of professionalism, discretion, and confidentiality when handling sensitive information

  • Comfort experimenting with productivity tools, systems, and emerging technologies (including AI) to improve efficiency

Responsibilities

  • Manage and optimize the CEO’s calendar to ensure time is aligned with strategic priorities
  • Coordinate internal and external meetings with senior leaders, customers, and partners
  • Exercise sound judgment when prioritizing requests and resolving scheduling conflicts
  • Maintain visibility into recurring engagements and key relationships to support effective follow-through
  • Serve as a trusted gatekeeper who understands the CEO’s priorities and working style
  • Prepare briefing materials for site visits, leadership meetings, and external engagements
  • Compile relevant background information, including organizational context, team insights, and operational updates
  • Draft and assemble talking points, remarks, and presentation materials as needed
  • Manage domestic and international travel, including flights, accommodations, and itineraries
  • Ensure travel plans align with meeting priorities and executive commitments
  • Coordinate logistics for leadership meetings, executive offsites, and company events
  • Partner with internal teams to ensure engagements and visits run smoothly
  • Manage calendar and scheduling for the Vice President, Corporate Affairs, including helping maintain the broader corporate calendar and flagging conflicts or adjustments as priorities shift
  • Coordinate travel arrangements and logistics
  • Manage expense submissions and related administrative follow-through
  • Support planning and coordination for major company meetings and initiatives, including the organization’s global leadership meeting held every two years, while working closely with the broader executive assistant group
  • Assist in assembling presentation materials by pulling and formatting slides from existing decks as needed
  • Help support preparation for select CEO engagements by organizing prior remarks, talking points, and materials that may inform upcoming events
  • Build and maintain simple systems and processes to improve executive office efficiency
  • Identify opportunities to streamline workflows and reduce manual work through organization and automation
  • Leverage productivity tools and emerging technologies, including AI, to enhance preparation, communication, and information management
  • Continuously improve how executive support operates across the leadership team
