About The Position

We’re hiring an Executive Assistant & Office Manager to serve as a high-leverage partner to our CEO and keep day-to-day operations running smoothly at our NYC headquarters. You’ll own the CEO’s calendar, inbox, travel, and expenses end to end while managing the office environment that powers our in-person culture — coordinating with our part-time office manager in SF and helping stand up our London office as we grow. As an early operations hire at F2, you’ll have a direct impact on how effectively our CEO and team operate every day.

Requirements

  • 3+ years of experience as an executive assistant, ideally supporting a C-level executive or founder.
  • Demonstrated experience with complex calendar management, travel booking, and expense platforms — and you sweat the details on all of it.
  • Take extreme ownership — problems are yours until they’re solved, and you bias to action, cut friction, and move fast.
  • Excel at cross-functional collaboration and communicate clearly with executives, employees, and external stakeholders.
  • Excited about AI and motivated by building from zero to one in a fast-paced startup environment.

Nice To Haves

  • Experience working in an early-stage or high-growth startup environment.
  • Experience with office management or workplace operations, especially coordinating across multiple locations or time zones.

Responsibilities

  • Own the CEO’s calendar end to end — scheduling, prioritizing, resolving conflicts, and protecting time for high-value strategic priorities.
  • Manage the CEO’s inbox: triage, draft responses, flag urgent items, and ensure follow-through on commitments.
  • Book and manage all travel (domestic and international, business and personal), including flights, hotels, ground transportation, and detailed itineraries.
  • Prepare and submit all expense reports and reimbursements.
  • Prepare agendas and briefing materials, and support logistics for board meetings, leadership meetings, all hands, and on/offsite events.
  • Provide personal support as needed, including coordination with accountants, tax preparers, and other service providers.
  • Own NYC office operations — supplies, equipment, mail, facilities, and vendor relationships — and coordinate with our part-time SF office manager to keep both offices running smoothly.
  • Plan and execute team events and celebrations, serve as the first point of contact for guests and visitors, and support the operational setup of our London office as we grow.
  • Handle sensitive and confidential information with absolute discretion.
