About The Position

This position provides high-level administrative support to the Dean and the Office of Graduate Studies. The Executive Assistant will support the Office and the Dean of Graduate Studies which means supporting during on and off-campus events during and after typical business hours will be expected.

Requirements

  • Knowledge of various Microsoft Products, including Microsoft Office, especially Excel.
  • Knowledge of website design and maintenance.
  • Thorough knowledge of grammar, punctuation, and spelling at a level appropriate to the position.
  • Working knowledge of budget policies and procedures.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to effectively handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Ability to contribute to a positive university experience for each student and assist in achieving the university's commitment to a "vision of excellence."
  • Ability to negotiate and prioritize across multiple tasks.
  • Ability to communicate information clearly both orally and in writing.

  • Equivalent to a bachelor’s degree in a related field required.

Nice To Haves

  • Experience in PeopleSoft and SharePoint are highly preferred.
  • Equivalent to 3 years of administrative support experience.
  • Bachelor Degree strongly preferred

Responsibilities

  • Administrates payment auditing, purchasing, procurements, invoices, contracts.
  • Oversees the coordination of various, multiple events. Coordination includes sending invitations, preparing agendas, scheduling rooms, and making catering arrangements.
  • Develops and maintains Graduate Studies websites and print publications under the supervision of the Communications Specialist.
