About The Position

The Executive Assistant provides strategic, proactive, and highly trusted support to the COO, Consumer Services. This role operates as an extension of the executive, enabling focus on enterprise priorities through sophisticated calendar strategy, executive communications, meeting orchestration, and confidential advisory support. This position requires strong business judgment, anticipation of executive needs, comfort operating in ambiguity, and the ability to manage complex stakeholder dynamics across ELT, SLT, and external partners. This role is based in the Minnetonka, MN office with flexibility to work a hybrid schedule, which is defined as four days onsite, and one day offsite per week.

Requirements

  • 5+ years of experience as an executive assistant supporting ELT or C-suite leaders within a large, complex, global organization (Fortune 500 preferred)
  • Advanced calendar and executive time management experience
  • Advanced proficiency with Microsoft 365 tools
  • Strong judgment, confidentiality, and independent decision-making skills
  • Proven exceptional written and verbal communication skills
  • Flexibility to support executives outside standard business hours
  • Willing and able to travel 10%25 +/- depending on business need
  • Reside within commuting distance to Minnetonka, MN; willing and able to work onsite in Minnetonka office four (4) days per week

Responsibilities

  • Own end-to-end calendar strategy for COO, balancing enterprise priorities, operating cadence, and recovery time
  • Serve as a thought partner to executives on time allocation, recommending trade-offs and prioritization changes
  • Anticipate downstream impacts of calendar decisions across ELT and SLT forums
  • Manage urgent and sensitive requests with sound judgment and discretion
  • Serve as primary liaison with ELT peers, SLT leaders, and external stakeholders
  • Draft and manage executive communications, briefing materials, and presentations
  • Screen and prioritize communication, responding on behalf of the executive when appropriate
  • Maintain strict confidentiality on sensitive enterprise matters
  • Orchestrate ELT meetings, reviews, and offsites with disciplined agendas and follow-up
  • Coordinate across executive offices to ensure readiness and alignment
  • Track decisions and action items to closure
  • Facilitate meetings including materials flow and technology support
  • Manage complex executive travel planning aligned to preferences and priorities
  • Handle expense management with accuracy and policy compliance
  • Resolve disruptions with minimal executive involvement
  • Manage administrative workstreams supporting the executive’s portfolio
  • Support special projects and enterprise initiatives requiring executive coordination
  • Leverage AI and automation tools to increase efficiency
  • Coordinate office moves including hardware and software requisitions, new hire onboarding and other office management responsibilities
