About The Position

The Executive Assistant provides high-level administrative and strategic support to the office of the Chief Human Resources Officer. This role manages complex, confidential, and time-sensitive responsibilities requiring sound judgment, professionalism, and strong organizational skills. The position serves as a key liaison across internal and external stakeholders, ensuring seamless coordination of executive priorities, communications, and operations. The ideal candidate demonstrates initiative, conscientiousness, anticipates needs and is curious.

Requirements

  • High school; Bachelor's degree (B.A.) preferred from four-year college or university experience and/or equivalent combination of education and experience.
  • 5+ years related experience providing administrative support in a large, corporate environment, preferably at the executive level
  • Ability to learn Human Resources software applications, such as Workday.
  • Advanced level of Microsoft office platforms and capabilities of using and/or learning various other software products
  • Ability to handle confidential issues with the utmost discretion
  • Ability to communicate in a clear, concise and effective manner with people at all levels (internally and externally)

  • Human Resources experience desired.

Responsibilities

  • Manage complex executive calendars, including scheduling internal and external meetings, prioritizing conflicting demands, and ensuring alignment with business priorities.
  • Coordinate domestic and international travel arrangements, itineraries, and logistics.
  • Prepare, review, and process expense reports, invoices, and related administrative documentation.
  • Maintain and organize confidential files, correspondence, and executive records.
  • Track and follow up on action items, deadlines, and key initiatives with limited direction.
  • Anticipate executive needs and establish or improve administrative processes to increase efficiency and effectiveness.
  • Plan and execute finance meetings, finance leadership sessions, and finance town halls.
  • Manage CHRO meeting logistics including agendas, materials, room setup, and vendor coordination.
  • Create, proofread, and distribute executive communications and presentations for a variety of audiences.
  • Draft, edit, and refine correspondence, reports, and messaging on behalf of the CHRO.
  • Communicate professionally and effectively with stakeholders at all levels, including executives and team.
  • Ensure efficient and professional daily operation of the executive office.
  • Support document retention processes and organizational systems.
  • Provide administrative and operational support to senior HR team.
  • Manage departmental budgets and related tracking activities.
