About The Position

Church Pension Group (CPG) is a financial services organization that serves the Episcopal Church, located in Midtown Manhattan. CPG was founded in 1917 to provide pension benefits to eligible clergy of the Episcopal Church. Since then, its mission has expanded to include life and disability insurance, health benefits, property & casualty insurance, and publishing. Our Human Resources (HR) Department is seeking a highly organized, proactive and service-oriented Executive Assistant to support the Chief People Officer (CPO) and the broader HR team. This role combines executive-level administrative support with HR departmental responsibilities, serving as a central resource that helps the department operate efficiently and effectively. The ideal candidate is exceptionally organized, exercises sound judgment, maintains the highest level of confidentiality, and thrives in a fast-paced environment where attention to detail and responsiveness are essential.

Requirements

  • Significant administrative or executive assistant experience, with demonstrated experience supporting senior executives, in a professional office environment
  • Exceptional organizational, planning, and time management, with the ability to manage multiple priorities
  • Strong attention to detail and ability to maintain a high degree of accuracy
  • Excellent written, verbal and interpersonal communication skills, with ability to interact effectively with employees, executive leadership, Board members and external partners
  • High level of discretion and professionalism with confidential information
  • Strong client service orientation and problem-solving skills
  • Proficiency in Microsoft 365 (Outlook, PowerPoint, Excel, Word, Teams, SharePoint) with the ability to quickly learn new systems and technology
  • Bachelor’s degree or equivalent combination of education and relevant experience
  • 10+ years of administrative experience in a corporate or professional setting

Responsibilities

  • Provide executive-level administrative support to the CPO, serving as a trusted partner in managing day-to-day priorities
  • Manage the CPO’s calendar, resolving conflicts and ensuring effective prioritization of time, meetings, and preparation
  • Coordinate internal and external meetings, including scheduling, logistics, and preparation of materials/presentations
  • Manage travel arrangements (air, hotel, transportation), expense reports, and related logistics
  • Serve as a trusted liaison between the CPO and internal/external stakeholders while exercising sound judgment, professionalism and discretion
  • Provide administrative support to HR Leadership Team and other team members as needed to ensure the efficient day-to-day operation of the department
  • Assist with onboarding and offboarding processes, including preparation of new hire documentation
  • Assist with employment verifications, I-9 documentation, and E-Verify (as applicable by jurisdiction)
  • Maintain confidential employee records, and HR documentation in accordance with company policies and legal requirements
  • Process invoices and track HR department expenses; ensure expenses are allocated to correct accounts
  • Order and maintain office and HR department supplies
  • Coordinate employee engagement initiatives such as service awards, recognition programs, and charitable campaigns
  • Coordinate other employee programs including CPR training and on-site vaccinations
  • Provide administrative support for additional HR activities and special assignments as needed
  • Manage all communications with Trustees as related to CDWV Committee meetings
  • Coordinate the gathering, review and finalization of board materials with the CPO, Legal and other stakeholders, as needed
  • Ensure board materials are complete, accurate, and distributed in accordance with established processes and timelines
  • Maintain strict confidentiality when handling board and executive-level information
