This role is for a highly organized and self-accountable individual looking to grow into a Chief of Staff position within a fast-growing startup. The position involves protecting the CEO's time, eliminating operational drag, and ensuring company execution. It is a supercharged Executive Assistant role with a clear path to Chief of Staff based on performance, requiring high trust, access, and expectations. The job involves real work including calendar management, follow-ups, accountability, systems, project management, hiring operations, and general task completion.

Responsibilities

  • Own and ruthlessly manage the CEO's calendar, protecting deep work blocks, batching meetings, and enforcing priorities.
  • Act as a gatekeeper for time, ensuring an intentional weekly schedule that aligns with company goals.
  • Run the follow-up engine, tracking action items, owners, due dates, reminders, and escalations to ensure nothing falls through the cracks.
  • Draft messages, emails, and internal updates for quick CEO approval.
  • Build and quarterback the company operating system (using tools like Trello, Asana, or Notion) to ensure every project has an owner, deadline, next action, and definition of done.
  • Hold leaders accountable for deliverables, reporting cadence, and output.
  • Manage end-to-end hiring operations for key roles, including pipeline management, scheduling, scorecards, assignments, Loom reviews, and references.
  • Oversee content operations to ensure timely shipping of content across platforms (YouTube, IG, email) by tracking weekly output, deadlines, and approvals.
  • Collect and analyze monthly Profit & Loss statements, KPI dashboards, and weekly reports, providing recommendations on raises, compensation adjustments, efficiency, and potential cuts.
  • Execute personal and local projects as needed to support business performance, such as managing the build-out of a home studio.
  • Utilize AI tools like ChatGPT extensively in daily workflow and provide feedback and suggestions to other department leaders on AI implementation.
