Requirements

  • Minimum three (3) years related administrative experience at an executive level is required.
  • Completion of a recognized administrative or paralegal program or a suitable combination of education and experience required.
  • Demonstrated knowledge and ability to use Microsoft Office including: Word, Excel, Access, PowerPoint, etc required.
  • Accurate typing skills with a minimum of 60 words per minute.
  • Demonstrated effective verbal and written communication skills with staff, outside organizations and the public.
  • Exceptional writing and grammar skills required.
  • Demonstrated self-start ability to work independently with minimal supervision.
  • Proven organizational, analytical and interpersonal skills.
  • Ability to work with a variety of sensitive information and maintain confidentiality.
  • Ability to work under pressure and meet deadlines.

Responsibilities

  • Provides confidential executive administrative support to the CEO and Board members while ensuring comprehensive administrative management functions are maintained.
  • Manages and coordinates CEO’s schedules.
  • Reviews and screens incoming correspondence to the CEO and prepares, channels and refers for response and action while ensuring completion or disposition.
  • Drafts correspondence such as emails, letters and memos on behalf of the CEO and Board members.
  • Support activities related to assigned meetings/committees including meeting agendas, organization and recording and production of minutes and follow up actions.
  • Types and formats policies, pamphlets, forms, letters, reports, etc. as required.
  • Provides contract management administrative support for the CEO.
  • Prepares data analysis and research for project proposals, business cases, evidence informed briefing notes, etc.
  • Liaise with internal and external stakeholders.
  • Develops and maintains an administrative filing system.
  • Files (paper and electronically) as necessary and maintains the security and confidentiality of all files.
  • Plans, coordinates and participates in the support of DASCH projects.
  • Readily available at the need of the CEO for unexpected events and duties as assigned.
