About The Position

Our client, a rapidly growing independent wealth management firm managing over $1 billion in assets for UHNWIs, is seeking an Executive Assistant to serve as a trusted partner to the CEO. This is a highly visible position that requires someone who can act as an extension of the CEO, helping drive priorities, coordinate initiatives, and ensure seamless execution across the business. This role offers direct exposure to executive leadership, involvement in strategic initiatives, and the chance to work alongside a talented and dedicated team committed to long-term success!

Requirements

  • 5+ years of experience as an Executive Assistant
  • Previous experience working as an EA in the financial services industry required
  • Exceptional organizational and project management skills
  • Strong attention to detail
  • Proactive mindset with the ability to anticipate needs and take initiative
  • Excellent written and verbal communication skills
  • Strong emotional intelligence and professional judgment
  • High degree of discretion and ability to handle confidential information
  • Collaborative approach with a proven ability to work effectively across teams

Responsibilities

  • Keep the CEO organized and focused by managing priorities, tracking action items, and ensuring timely follow-up on key initiatives
  • Manage the CEO's calendar, scheduling, and meeting preparation
  • Execute and support projects independently, including research, coordination, document preparation, and logistics management
  • Assist with client communications and relationship management activities
  • Help advance strategic firm initiatives, including marketing projects, branding efforts, team events, and vendor coordination
  • Maintain clear documentation of delegated tasks, responsibilities, and project updates through Microsoft Teams and other internal systems
  • Coordinate across departments to ensure accountability and execution of key business objectives
  • Assist with other ad hoc administrative tasks and projects, as needed
