About The Position

Function Health is seeking a sharp, resourceful, and AI-native Executive Assistant to join the Office of the CEO at Ezra. This role is designed for someone who will serve as a true operating partner to the CEO, owning the systems, signals, and workflows that enable maximum leverage. The position involves not just operating within existing systems but also helping to design them, particularly as the Office of the CEO builds AI-native infrastructure. This role offers a unique opportunity to work alongside an entrepreneur at the forefront of preventive health and AI, with potential for growth in scope. Responsibilities include managing a complex calendar, coordinating cross-functional communication, organizing travel, and ensuring the CEO's time is aligned with organizational priorities. The role also involves corresponding on the CEO's behalf with investors, board members, strategic partners, and advisors, requiring strong written communication skills, professional judgment, and poise. The Executive Assistant will collaborate closely with the Chief of Staff as a unified Office of the CEO unit, focusing on calendar audits, meeting preparation, logistics, workflow design, and maintaining a clear view of the CEO's priorities. Ezra emphasizes immediate action, a strong writing culture, and asynchronous communication, valuing clear and concise communication.

Requirements

  • 3+ years of professional experience in a fast-paced, operationally complex environment.
  • Comfort owning complex calendars and high-volume scheduling is required.
  • Genuinely excited about AI tooling and the leverage it creates, and equally clear-eyed about where AI falls short without human judgment, ownership, and taste.
  • Enthusiastic early adopter of tools like Claude, Granola, and Notion, with opinions on how to use them well.
  • Proven track record of using AI tools to automate or augment real workflows, with the ability to articulate what was built, why it mattered, and where judgment was required.
  • Strong instinct for prioritization; ability to identify the highest-leverage move in a pile of competing demands and articulate why others can wait.
  • Exceptional organizational skills with a proven ability to manage multiple priorities under pressure.
  • Strong written and verbal communication skills, with attention to detail. Clarity, conciseness, and professional tone are non-negotiable.
  • High emotional intelligence, discretion, and sound judgment.
  • Fluency in Google Workspace, Slack, Zoom, and other modern productivity tools.
  • Ability to work independently, anticipate needs, and solve problems quickly.
  • A bias for immediate action; when something can be done today, it gets done today.

Nice To Haves

  • Previous EA or executive-support experience is welcome but not required; equivalent experience in operations, recruiting, program management, or startup generalist roles will be considered.
  • Previous experience coordinating with a Chief of Staff or within an Office of the CEO structure.

Responsibilities

  • Manage the CEO’s complex calendar, scheduling appointments and meetings across multiple time zones.
  • Coordinate with internal and external contacts to arrange commitments.
  • Prioritize and resolve scheduling conflicts, enforcing protected time blocks for deep work and strategic engagement.
  • Handle communication with cross-functional teams and external partners.
  • Draft and manage correspondence on behalf of the CEO, including emails, Slack messages, sync requests, and scheduling coordination with investors, board members, advisors, and strategic partners.
  • Act as a liaison between the CEO and other executives, board members, and external partners.
  • Screen and prioritize incoming communications.
  • Coordinate business meetings and travel.
  • Arrange travel itineraries, including transportation, accommodations, and agendas.
  • Ensure prep materials are ready in advance of board, executive, and team meetings per the CEO’s review cadence.
  • Capture action items from key meetings and drive follow-through across stakeholders.
  • Cross-collaborate with other EBPs and EAs to plan offsites and events as the company scales.
  • Partner with the Chief of Staff on weekly calendar audits, meeting prep cycles, and priority alignment.
  • Maintain shared visibility into scheduling changes and commitments via dedicated channels.
  • Operate as a trusted extension of the Office of the CEO.
  • Identify high-leverage workflows to automate or augment with AI, and prototype them with the Chief of Staff.
  • Experiment with AI tools and async patterns to increase the leverage of the Office of the CEO.
  • Document and improve repeatable workflows to compound operating cadence as the business scales.
  • Prepare reports, presentations, and other documents.
  • Manage and maintain records.
  • Oversee and assist with special projects as assigned.
