The company is seeking a highly organized, proactive, and discreet Executive Assistant to support the CEO of Ezra. This individual will be a trusted partner, helping the CEO operate efficiently by managing a complex calendar, coordinating cross-functional communication, organizing travel, and ensuring time and priorities align with key organizational work. The EA will correspond on the CEO’s behalf with investors, board members, strategic partners, and advisors, requiring strong written communication, professional judgment, and poise. The ideal candidate is a self-starter comfortable with ambiguity, meticulous, resourceful, and able to thrive in a fast-paced environment. This EA will work closely with the Chief of Staff and the broader Office of the CEO, syncing on calendar audits, preparing the CEO for meetings, executing logistics, improving workflows, and maintaining a single source of truth for the CEO’s priorities. Ezra operates with a bias for immediate action and a strong writing culture, preferring async over sync and expecting clear, concise communication. Requirements

  • 5+ years of experience as an Executive Assistant, preferably supporting a founder or C-suite executive in a fast-paced or startup environment.
  • Exceptional organizational skills with proven ability to manage multiple priorities under pressure.
  • Strong written and verbal communication skills, with attention to detail. Clarity, conciseness, and professional tone are non-negotiable.
  • High emotional intelligence, discretion, and sound judgment.
  • Google Calendar mastery.
  • Proficiency in Google Workspace, Slack, Zoom, and other productivity tools.
  • Ability to work independently, anticipate needs, and solve problems quickly. When something can be done today, it gets done today.

Nice To Haves

  • Based in Austin, TX, or New York, NY.
  • Previous experience coordinating with a Chief of Staff or within an Office of the CEO structure.
  • Genuine interest in AI tooling and a willingness to experiment — you don’t need to be a builder, but you should be an enthusiastic adopter of new tools and workflows. Familiarity with tools like Granola, Obsidian, Claude, or similar AI-forward productivity platforms is a plus.
  • Motivated by Ezra’s mission of early cancer detection and the broader vision of helping people live 100 healthy years. You don’t need a health tech background, but you should care about what we’re building.

Responsibilities

  • Manage the CEO’s complex calendar, scheduling appointments and meetings across multiple time zones
  • Coordinate with internal and external contacts to arrange commitments
  • Prioritize and resolve scheduling conflicts, enforcing protected time blocks for deep work and strategic engagement
  • Draft and manage correspondence on behalf of the CEO — including emails, Slack, sync requests, and scheduling coordination — with investors, board members, advisors, and strategic partners
  • Act as a liaison between the CEO and other executives, board members, and external partners
  • Screen and prioritize incoming communications
  • Arrange travel itineraries, including transportation, accommodations, and agendas
  • Ensure prep materials are ready in advance of board, executive, and team meetings per the CEO’s review cadence
  • Capture action items from key meetings and drive follow-through across stakeholders
  • Cross-collaborate with other EAs to plan offsites and events as we scale
  • Partner with the Chief of Staff on weekly calendar audits, meeting prep cycles, and priority alignment
  • Maintain shared visibility into scheduling changes and commitments via dedicated channels
  • Operate as a trusted extension of the Office of the CEO
  • Prepare reports, presentations, and other documents
  • Manage and maintain records
  • Oversee and assist with special projects as assigned
