About The Position

This role reports directly to the VP of People Operations and supports the Sr. Director of Diversity, Inclusion and Belonging in a dual capacity. This person will be professional, approachable, and a go-to person who is a positive reflection of our brand. He/She/They will also interact with other members of our Leadership Team and their staff. This role offers exposure to strategic initiatives across People Operations, DIB and the broader People Organization with opportunities to contribute to culture-shaping efforts and cross-functional programs!

Requirements

  • Minimum of 5 years of executive administrative experience
  • Outstanding planning, organizational skills with exceptional follow through
  • Attention to detail, high sense of integrity and professionalism
  • Ability to prioritize, adhere to critical timelines and multi-task
  • Strong Technical skills: proficient in Microsoft Outlook and the Google Docs, Slides and Sheets.
  • Excellent communication skills: ability to prioritize, take direction, and work independently on projects.
  • Ability to learn new technology, processes, and change directions quickly
  • Effective in a constantly evolving environment
  • Desire and ability to positively influence the culture of the department and the company.
  • Have a genuine interest in the business and want to understand how we function, why we function, who our clients are, and what our industry is about.

Responsibilities

  • Proactive management of complex calendars for internal and external meetings–using insight, decision-making, and prioritization skills with regards to managing action items and prioritizing time.
  • Serve as a trusted gatekeeper for the leaders’ time and attention, ensuring alignment with top priorities.
  • Book and manage travel logistics, including flights, hotels, transportation, and related details, ensuring smooth and efficient experiences
  • Support the planning and hosting of external groups visiting the San Jose campus, including scheduling, onsite logistics, and ensuring a welcoming experience.
  • Help track key actions and decisions from regular staff meetings and other forums.
  • Assist with planning and logistics for org-wide meetings, leadership offsites, team celebrations, and DIB programming, as needed.
  • Prepare and manage confidential material. Being privy to such critical information there is a need to maintain good practice with integrity, discretion and subtlety
  • Planning/project management skills to coordinate employee/client events
  • Manage and reconcile expense reports and purchase requisition submissions
  • Provide back-up support for additional members of the administrative team
  • Partner with the people team admin team to support events and initiatives for the broader organization.
  • Interact appropriately and skillfully with senior executives within and outside the company, as well as customers, vendors and visitors
  • Resolve time critical issues with a high degree of precision and exhibit strong organizational, written and verbal communication skills
  • Anticipate the needs of the leadership team
