About The Position

The Executive Assistant & People Coordinator serves as a trusted partner to executive leadership while supporting the Company's people-focused initiatives and daily HR operations. This role provides high-level administrative support to senior leaders and assists with employee programs, onboarding, engagement activities, communications, training coordination, and HR administration. The ideal candidate is highly organized, service-oriented, detail-focused, and capable of handling confidential information with discretion. This position plays an important role in supporting both organizational effectiveness and positive employee experience.

Requirements

  • Associate's degree required; bachelor’s degree preferred.
  • 1-3 years of administrative support experience, preferably supporting senior leaders.
  • Experience in Human Resources, employee services, office administration, or related functions preferred.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to maintain confidentiality.
  • High attention to detail and accuracy.
  • Strong customer service and interpersonal skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Ability to work independently while maintaining a collaborative approach.
  • Must pass a background check and drug screen unless otherwise prohibited by state law.
  • Must pass a pre-employment drug screening as a condition of employment.
  • Demonstrate professionalism and discretion in all interactions.
  • Anticipate executive and organizational needs.
  • Build strong relationships across all levels of the organization.

Responsibilities

  • Provide administrative support to designated executive leaders.
  • Manage executive calendars, appointments, meetings, and travel arrangements.
  • Coordinate leadership meetings, agendas and presentations.
  • Prepare reports, presentations, and meeting materials.
  • Screen and prioritize communications on behalf of executives.
  • Coordinate executive expense reports and reimbursement requests.
  • Maintain confidential records and sensitive business information.
  • Assist with strategic projects and special initiatives.
  • Serve as a liaison between leadership and internal/external stakeholders.
  • Support employee onboarding activities.
  • Assist with employee engagement, recognition, wellness, and culture initiatives.
  • Assist with coordination of employee events, celebrations, and company-sponsored activities.
  • Support internal communication and rollout of employee programs and initiatives.
  • Support HR compliance and record retention activities.
  • Provide general administrative support to the Human Resources department and leadership team.
