About The Position

The Executive Assistant - Manager manages a staff of administrators, prepares agendas and coordinates meeting arrangements, special projects and small-scale business line events, composes correspondence, greeting and directing visitors. This job requires superior attention to detail and the ability to meet tight deadlines and juggle multiple requests is critical. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior executives is imperative, as is the ability to be flexible and change direction at a moment's notice. Promotes the growth and prosperity of the Bank by professionally serving the needs of customers and Executive Officers. Prepares PowerPoint Presentations, Excel spreadsheets and Word documents with accuracy and with design to make information visible and useful. Manages a team of Administrative Assistants, mentoring them in correct office procedures, maintaining a courteous attitude in stressful situations, organizational and communication skills and setting priorities as to multitasking under demanding deadlines Conducts research and prepares necessary spreadsheets and reports for broad range of business projects. Supervises arrangements assuring logistics for group meetings are completed. Schedules and prepares arrangements for executive business meetings, retreats, and presentations. Preparations include organizing program, securing caterers, coordinating speakers, setting and maintaining event budget. Contributes to building positive team spirit. Responsible for the organization and coordination of small to medium scale meetings and events. Works independently, sets priorities, timelines and schedules. Obtains necessary resources to meet deadlines, demonstrates ability to maintain focus, prioritizing tasks and clearly communicating priorities of work to team. Ability to oversee multiple projects independently.

Requirements

  • Bachelor’s Degree: in related field or equivalent demonstrated through a combination of work experience, training, military service, or education - Required
  • 5+ Years of Administrative support experience - Required
  • Excellent interpersonal, written and communication skills
  • Ability to recognize sensitive material and maintain the utmost discretion and diplomacy with a high degree of confidentiality
  • Polished executive assistant with professional maturity and previous corporate environment experience
  • Ability to effectively interact with senior level management both internally and with external clients
  • Ability to manage top level managers supported with tact, diplomacy and assertiveness
  • Demonstrated ability to work independently to establish priorities, multi-task, meet deadlines, strong organizational, time management and planning skills
  • Strong ability to multi-task, react and think quickly
  • Self-starter with strong sense of ownership and involvement
  • Ability to seek clarification or assistance when needed
  • Desire to work as a true partner with the Executive and anticipate needs
  • Advanced knowledge of a variety of software programs (particularly Outlook, Excel, Word, and PowerPoint)

  • Requires continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines

  • Proven experience as events planner for small to medium scale meetings/conferences/events, varying in complexity
  • Exceptional customer service skills
