About The Position

The Executive Assistant, Legal will provide comprehensive administrative support to the General Counsel and the Legal Department. This role involves managing complex calendars, coordinating projects, preparing documents, maintaining legal files, and serving as a key point of contact for internal and external stakeholders. The ideal candidate will be highly organized, proactive, and possess excellent communication and interpersonal skills, with a high degree of professionalism and discretion.

  • High School Diploma or GED.
  • Minimum of 7 years of executive administrative experience in a corporate environment.

  • Associate's degree in office management or related field preferred.
  • Familiarity with legal terminology and processes is a plus.

Responsibilities

  • Manage, prioritize, and maintain a busy and dynamic calendar of internal and external meetings, events, and appointments, both in person and online for the General Counsel; anticipate and arrange travel as needed.
  • Maintain communication with the General Counsel to stay on top of changing priorities, and to ensure preparation and organization for all meetings and events.
  • Proactively administer and monitor key Legal Department projects, some with cross-functional teams; update Legal team members on status and milestones as needed.
  • Prepare and edit correspondence, reports, spreadsheets, agendas, presentations and other documents in appropriate formats.
  • Maintain and organize legal files and confidential records. Handle sensitive information with the highest level of confidentiality and professionalism.
  • Assist paralegals with contract lifecycle management and other Legal Department systems, including tracking deadlines and renewals.
  • Support attorneys responsible for compliance and regulatory filings, including document preparation and submission logistics.
  • Coordinate with internal departments and external counsel as needed.
  • Serve as the Legal Department's administrative point of contact for internal and external stakeholders.
  • Prepare expense reports, process invoices and monitor the budget for the legal team.
  • Align with other executive assistants on company procedures, administrative processes, and best practices.
