The corporate offices are in Villanova, PA. This position is designated as hybrid with a requirement of up to 4 in-office days per month; however, flexibility is essential, as additional in-person attendance may be required based on business needs, meetings, and events. Domestic travel within the United States (four to five times annually) is required.

Requirements

  • Associate's degree in business or other appropriate discipline, or equivalent experience; bachelor's degree preferred.
  • Minimum of six (6) years of relevant professional experience as an organizational lead or second line people manager.
  • Must have demonstrated proficiency in Microsoft Office Suite (i.e., Excel, Word and PowerPoint) and other business applications (e.g., Microsoft 365, database tools, virtual platforms.)
  • Must have superior written and oral communication expertise, customer service skills, and an ability to independently follow up as required; Requires flexibility and an ability to adapt to the demands of rapidly changing priorities.
  • Must demonstrate use of sound judgement and be able to make quick and accurate decisions independently.
  • The desire to lead a team through inspiration and motivation, and a passion for establishing a best-in-class brand internally and externally.
  • Experience providing administrative support to a member of Senior Management, preferably in a behavioral healthcare, finance, human services or other non-profit comparably sized, multi-site environment.
  • Experience working successfully within a matrixed organization with multiple programs and demands, using discretion, tact and a sense of appropriateness of what can be communicated to whom.
  • Ability to be adaptable, flexible, and change activities quickly.
  • Must possess professional demeanor and judgement, be able to make quick and accurate decisions independently, and function as a member of the senior administrative support team, contributing to an overall atmosphere of cooperation.

Responsibilities

  • Provide comprehensive administrative and executive-level support to the President/Chief Executive Officer (CEO), Executive Vice President/Chief Operating Officer (EVP/COO), and the Devereux Board of Trustees.
  • Provide high-level administrative and executive support to the President/CEO and EVP/COO, ensuring the efficient day-to-day operation of the Office of Administration.
  • Coordinate the preparation, review, and dissemination of executive and Board-related correspondence and communications.
  • Plan and execute in person, hybrid and virtual conferences, board meetings, and events.
  • Prepare, compile, and distribute materials for Board of Trustees meetings, executive meetings, and other governance-related activities.
  • Support special projects and initiatives as assigned, ensuring timely completion and alignment with organizational priorities.
  • Supervise and manage the national Executive Assistants in the Office of Administration, ensuring effective coordination of work assignments and cross-functional coverage.
  • Evaluate administrative workflows and systems, and recommend process and system improvements to enhance efficiency, consistency, and service delivery.
