About The Position

The Executive Assistant III (EA III) serves as a strategic business partner to Senior Managing Directors, Managing Directors, and other senior leaders within the Strategic Communications segment. This role is focused on high-level administrative tasks, requiring exceptional organizational skills, business acumen, and the ability to collaborate with team members. The EA III will handle complex, non-routine administrative functions requiring independent judgment and discretion. This position requires a proactive individual who can anticipate needs, solve problems independently, and maintain absolute confidentiality while interacting with clients and executive leadership.

Requirements

  • Bachelor's Degree
  • 3+ years of progressive administrative support experience in a professional services environment
  • Ability to travel to clients and FTI office(s) as needed
  • Applicants must be currently authorized to work in the United States on a full-time basis; this position will not sponsor applicant for work visas.

Responsibilities

  • Provide superior administrative support to Senior Managing Directors/Managing Directors and other senior leaders, serving as a trusted business partner
  • Manage complex calendars with competing priorities, proactively anticipating scheduling needs and resolving conflicts independently
  • Coordinate and manage high-stakes meetings, logistics, schedules, and conference calls with minimal direction
  • Arrange complex domestic and international travel, including multi-city itineraries and last-minute changes
  • Maintain and manage contact databases in Outlook and Salesforce for multiple senior leaders
  • Create, maintain, and organize confidential paper and electronic filing systems
  • Serve as liaison between senior leadership, reception, facilities, and regional administrative teams
  • Manage time entry in Carpe Diem Web for senior leaders, ensuring accuracy and timeliness
  • Oversee in-office operations and provide support to on-site staff in coordination with regional administrative leadership, as needed
  • Select and coordinate catering for meetings and special events within budgetary parameters, adhering to Strategic Communications best practices, as needed
  • Coordinate and manage internal and external supported team events and meetings, handling logistics from planning through execution
  • Troubleshoot real-time operational issues and direct team members to appropriate resolution channels
  • Identify and implement process improvements and efficiencies to enhance team and office operations
  • Set up new clients and manage contacts in Salesforce with high attention to detail
  • Assist with client invoice processing and vendor setup coordination
  • Manage expense reports using Chrome River software for multiple senior leaders
  • Create draft contracts utilizing approved templates, ensuring accuracy of information, pricing, and compliance
  • Process contract and business matter approvals and complete data entry into CRM (Salesforce)
  • Liaise with Finance on business matters, reporting requests, and budget tracking
  • Shepherd pursuits, contracts, and conflict checks efficiently through internal systems, ensuring nothing falls through the cracks
  • Manage ongoing trackers and dashboards, including team utilization, pipeline reports, and revenue tracking
  • Create and maintain critical business documents such as monthly decks, team agendas, pipeline reports, and staffing trackers
  • Provide comprehensive support to assigned practice(s), including Financial Communications and Latin America teams
  • Take detailed notes and circulate action items from team meetings
  • Draft contracts, correspondence, and other business documents
  • Perform data entry, proofreading, and materials creation for client deliverables
  • Prepare materials and collateral for external and internal meetings
  • Collaborate with Strategic Communications administrative and core operations teams to deliver highest level of support
  • Utilize English/Spanish fluency to support LatAm team operations across Mexico, Brazil, and Colombia
  • Serve as subject matter expert on FTI infrastructure, processes, and Strategic Communications team dynamics
  • Create, review, and edit complex documents, reports, and spreadsheets using Microsoft Excel, Word, and PowerPoint
  • Research information via Intranet/Internet relevant to business matters and special requests
  • Maintain proficiency in all FTI systems and serve as resource for team members
  • Identify opportunities to leverage technology for improved efficiency and effectiveness
