About The Position

This is a stand-alone position that provides support to executives. The role requires exercising confidentiality, tact, and diplomacy. The ideal candidate will have deep experience using Microsoft Office products (Word, PowerPoint, Outlook, TEAMS, SharePoint, Excel) to prepare correspondence, reports, presentations, agendas, and minutes. The position involves preparing and editing executive presentations for SMC/Board level, proactively anticipating and managing work needs for executives, and adapting to evolving priorities. Responsibilities include preparing responses to routine correspondence and inquiries, receiving, screening, and directing incoming calls, visitors, mail, and e-mail. The role also involves maintaining files, records, calendars, and diaries, arranging business travel, coordinating meeting arrangements, and tracking expenses. This position operates with a limited degree of supervision and serves in a non-exempt capacity. Depending on the scope and complexity of the organization and skills required, an exception may be made to utilize the Exec Ast I level or the Administrative Specialist hierarchy. The role provides support to SVPs, Presidents, VPs with designation (Chief titling), and VPs who report to the EVPs who are direct reports to the CEO.

Requirements

  • Deep experience using Microsoft Office products - Word, PowerPoint, Outlook, TEAMS, SharePoint, Excel.
  • Comfortable preparing and editing executive presentations for SMC/Board level.
  • Ability to proactively anticipate and manage work needs for executives and adapt to evolving priorities.
  • Bachelors degree and 6 years of experience or Highschool Diploma and 10 years of experience.
