About The Position

The Executive Assistant provides administrative support and project management for the Director of Philanthropic Engagement. The essential functions as shown below represent only the key areas of responsibility; specific position requirements will vary depending on the needs of the district.

Requirements

  • High school diploma, HiSET, or G.E.D.
  • Five years of work experience in community engagement or customer service
  • Ability to work a varied work schedule which includes evening and/or weekend hours.
  • Excellent customer service skills.
  • Effective written and oral communication and presentation techniques.
  • Ability to prioritize tasks, manage time effectively, and proven ability to meet deadlines.
  • Attention to detail and accuracy.
  • Ability to work independently or collaborate effectively within a team.
  • Proficient with Microsoft Office Suite, Microsoft Dynamics, or related software.
  • Maintain confidentiality.
  • Attend work on a prompt and regular basis.
  • Maintain satisfactory and harmonious working relationships with the public, students, and other staff.
  • Successful completion of a criminal background check, and a child and adult abuse registry check.
  • Certain positions may require fingerprinting, a drug and alcohol test, a physical capacity test and/or a motor vehicle record check.

Responsibilities

  • Answer incoming calls, field questions, and initiate follow up communication.
  • Manage the collection, maintenance, integrity, and secure sharing of donor, partnership, and engagement data within the Microsoft Dynamics donor database, ensuring accuracy, timely updates, and compliance with applicable state and federal laws.
  • Coordinate and manage ongoing projects under the direction of the director including issuing and collecting donor/partnership contracts, sending partnership surveys, creating branded materials and assisting with community events.
  • Compile and integrate data from multiple sources, including district-specific systems, to produce professional reports, documents, and presentations.
  • Collaborate across district departments to collect and share data and update promotional materials.
  • Support compliance with foundation and grant requirements to ensure funds are used appropriately and in accordance with established guidelines.
  • Assist with scheduling meetings, sending communication, and recording notes during meetings.
  • Other duties, as assigned.
