About The Position

Sikich is seeking a Business Analyst / Executive Assistant to support the U.S. Department of Health and Human Services (HHS), Office of the Assistant Secretary for Financial Resources (ASFR), Office of Finance (OF), Office of Financial Systems Policy and Oversight (OFSPO) under the HHS Project Management Support II task order. OFSPO provides oversight for HHS’s entire financial management systems environment and serves as system owner for UFMS, FBIS, and CFRS, and this role serves as the primary operational and administrative partner to OFSPO executive leadership. The position requires a hybrid skillset that combines high-level executive assistance, including calendar management, meeting preparation, correspondence, and document control, with business analysis capabilities such as tracking, reporting, process documentation, and continuous improvement. Day to day, the Business Analyst / Executive Assistant manages executive calendars and meeting readiness, serves as the central intake point for documents requiring executive review and signature, performs quality assurance on executive-facing communications, and coordinates the contractors, vendors, candidates, facilities, and visitors interacting with the executive office. The role also maintains the trackers , dashboards, and SOPs that give leadership visibility into outstanding actions and allow recurring processes to be performed consistently. By maintaining working knowledge of OFSPO’s portfolio, priorities, and stakeholders, and by applying OF/OFSPO’s established meeting support, deliverable review, and records standards, the role ensures executive time is protected, requests reach leadership fully developed, and substantive prioritization and decision-making remain with government executives. Requirements

  • U.S. Citizenship (required for HHS systems access) and ability to obtain/maintain a Public Trust clearance.
  • Bachelor’s degree in business, public administration, communications, or a related field (or equivalent experience)
  • 0–2 years of administrative, office, or analytical experience, including internships, co-ops, or student roles.
  • Working proficiency with Microsoft 365, including Outlook calendar management, Word, Excel, PowerPoint, and Teams.
  • Strong organizational skills and attention to detail, with the ability to track multiple deadlines and follow tasks through to completion.
  • Strong writing and proofreading skills, with an eye for consistent formatting, grammar, and clarity in documents and correspondence.
  • Professional, courteous verbal communication skills and comfort interacting by phone and email with senior leaders, federal staff, contractors, vendors, and candidates.
  • Discretion and sound judgment in handling sensitive information, including PII, and in recognizing when a matter should be escalated.
  • Eagerness to learn federal processes, the HHS financial systems environment (UFMS, FBIS, CFRS), and executive preferences quickly, and to take initiative once familiar with them.
  • Interest in business analysis and process improvement, such as building trackers in Excel, documenting procedures, and exploring automation or AI tools.
  • Ability to work on site at the HHS Hubert H. Humphrey Building and perform incidental physical tasks associated with office operations, including transporting supplies and lifting items of approximately 10–15 pounds.

Responsibilities

  • Manage executive calendars, meeting requests, and scheduling for OFSPO leadership, reviewing calendars daily and looking ahead to deconflict double bookings, confirming priorities with the executive when commitments compete, and coordinating real-time changes throughout the workday.
  • Prepare executives for upcoming meetings by reviewing commitments at least 24 hours in advance, securing agendas, read- aheads , and briefing materials, attaching them to calendar invitations, and coordinating conference rooms, audiovisual, and technology support with PSC.
  • Assist with developing executive materials, including briefings, presentations, reports, agendas, talking points, correspondence, and decision-support summaries that synthesize complex program information into concise, decision-ready content.
  • Attend executive-level and program meetings as requested to capture notes, decisions, action items, owners, and deadlines, delivering agendas one business day before and minutes one business day after each meeting in accordance with OF/OFSPO meeting support standards.
  • Serve as the central intake and control point for documents requiring executive review, approval, or signature, including PDAS and DAS requests, resource management approvals, MOUs, and technical sign-offs , while maintaining a centralized signature tracker from receipt through completion.
  • Review incoming documents and executive-facing communications for completeness, formatting, grammar, clarity, context, and apparent factual or technical inconsistencies, coordinating with document owners and subject-matter experts to resolve issues before executive routing.
  • Maintain a working understanding of OFSPO projects, priorities, risks, and stakeholder working patterns across the UFMS, FBIS, and CFRS portfolio to anticipate executive needs, provide relevant context, and assist with recall of prior decisions and commitments.
  • Serve as a first line of communication for contractors, vendors, and other stakeholders interacting with the executive office, triaging routine requests, tracking commitments and follow-ups, and elevating matters that require executive or government attention.
  • Coordinate candidate outreach and interview logistics for executives and federal staff, including initial phone outreach, written follow-up, calendar and room coordination, and referral of substantive hiring or federal employment questions to the appropriate federal personnel.
  • Support business analysis for executive priorities and cross-functional initiatives by gathering information, identifying dependencies and risks, and developing dashboards, trackers, status reports, and workflows, including evaluating automation and AI-assisted approaches for accuracy, efficiency, and information sensitivity.
  • Develop and maintain Standard Operating Procedures for recurring functions such as executive scheduling, signature routing, meeting preparation, candidate coordination, visitor access, facilities requests, and international travel GFE so that another qualified individual can execute them during coverage or transition.
  • Coordinate day-to-day office operations as the executive office point of contact, including supply replenishment through ASFR/OF, facilities service requests with PSC and Building Management, first-line technology troubleshooting, visitor access and escort with the Physical Security Office, and GFE coordination for executive international travel.
