As a Business Assistant, you will provide administrative support to executives and department leaders by delivering an exceptional customer service experience. You will play a key role in ensuring seamless day-to-day operations through effective calendar management, travel coordination, event planning, and administrative support.

Requirements

  • Experience supporting executives, leadership teams, or corporate functions.
  • Experience coordinating meetings, travel, and events.
  • Knowledge of administrative management, vendor coordination, and customer service practices.
  • Proficiency with Microsoft Office Suite and collaboration tools.
  • Experience using business systems such as SAP, Concur, invoicing platforms, or similar applications.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong communication, collaboration, and relationship-building skills.
  • Ability to exercise sound judgment, discretion, and professionalism in a fast-paced environment.

Nice To Haves

  • Associate's degree in Business Administration, Administrative Management, or a related field preferred.

Responsibilities

  • Manage complex calendars, schedules, and meeting coordination for executives and business leaders.
  • Coordinate domestic and international travel arrangements and related logistics.
  • Plan and organize internal and external meetings, leadership events, and special projects.
  • Prepare materials, coordinate catering, and partner with IT on technology and AV requirements.
  • Process expense reports and corporate credit card reconciliations.
  • Generate purchase requisitions and payment requests through company systems.
  • Receive, distribute, and manage incoming mail and correspondence.
  • Support document preparation, copying, binding, packaging, and distribution.
  • Collaborate with and provide backup support to other Business Assistants as needed.
  • Assist with board meetings, leadership meetings, and company-sponsored events.
