About The Position

Cyber Security Innovations, LLC (CSI) is seeking an experienced Executive Assistant / Administrative Support Specialist to support a federal agency contract in Washington, DC. In this role, you will provide high-quality administrative and executive support to CFTC senior leadership, Commissioners' offices, and the Division of Administration. You will work largely independently, exercising sound judgment in prioritizing and executing a broad range of administrative, analytical, and logistical support activities. This is a full-time, on-site position in Washington, DC.

Requirements

  • High school diploma required; Associate's or Bachelor's degree preferred
  • Minimum 3–5 years of executive or senior administrative support experience, preferably in a federal government or government contractor environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with federal travel systems (E2 Solutions preferred) and time & attendance systems (GovTA preferred)
  • Demonstrated ability to manage multiple priorities independently with minimal supervision
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information
  • Must be able to obtain and maintain a federal background investigation / Public Trust clearance as required by the client.

Nice To Haves

  • Prior experience supporting federal agency senior executives or Commissioners' offices
  • Familiarity with federal records management and personnel action processing
  • Experience with agency scheduling and intranet content management systems

Responsibilities

  • Greet and assist office visitors; answer phones and relay messages
  • Manage incoming and outgoing correspondence and mail
  • Operate standard office equipment and maintain organized filing systems (physical and electronic)
  • Monitor and maintain office supply inventory
  • Create tent cards, sign-in sheets, and other event materials
  • Coordinate schedules, appointments, and conference room reservations via the agency's scheduling system; all requests must be completed within 30 minutes of inquiry
  • Prepare daily agendas and calendars for assigned Agency Executives
  • Process travel requests and authorizations in CFTC's travel system (E2) within 5 business days of receipt
  • Complete and submit travel vouchers for payment within 3 business days of traveler's return
  • Provide reporting and reconciliation of travel authorizations and vouchers against approved allocations
  • Manage biweekly time and attendance records for employees in GovTA
  • Serve as liaison to the Human Resources Branch to resolve T&A issues by 4:00 PM on the Monday following the pay period close
  • Process T&A corrections within 3 business days of request (Note: contractor personnel are prohibited from certifying employee timecards)
  • Draft, edit, and finalize memos, reports, meeting agendas and minutes, and policy/project notebooks
  • Prepare and update budget, HR, and miscellaneous data tables and electronic documents
  • Assess and update office/division intranet pages for content accuracy
  • Perform daily updates to DA administrative management and tracking systems; provide monthly summary reports
  • Organize and update physical and electronic project management files and portfolio indexes weekly
  • Coordinate DA's permanent records storage and retrieval
  • Process and transmit personnel actions to appropriate DA branches; follow up on onboarding, training, and move requests
  • Enter data and generate reports using Microsoft Office Suite (Word, Excel, PowerPoint, Access), as well as agency systems including Delphi, GovTA, and E2
