About The Position

This position performs a variety of complex secretarial, administrative, and clerical tasks which may include, but are not necessarily limited to, coordinating the flow of work and people through the Department of Pediatrics Office, drafting correspondence, reports, and memos, maintaining the department calendar, making travel arrangements, coordinating logistical arrangements for conferences and meetings, composing documents, and compiling information for report preparation. Tasks vary in complexity from day to day and require problem-solving and critical thinking to complete. Reviews and ensures compliance regarding the accuracy and completeness of data, documents, and reports.

Requirements

  • High School diploma or GED plus three (3) years of related experience, or an equivalent combination of education and experience.
  • Ability to be the initial in-person, email, and telephone contact for the department.
  • Ability to provide professional support to the department chair.
  • Ability to schedule appointments and maintain calendars.
  • Ability to make reservations and schedule travel.
  • Ability to schedule events.
  • Ability to maintain confidentiality and professionalism in all duties.
  • Ability to communicate professionally and effectively in both spoken and written form.
  • Ability to perform a variety of complex secretarial, administrative, and clerical tasks.
  • Ability to use good judgment.
  • Ability to conceptualize, solve problems, make decisions, and accept responsibility.
  • Ability to work in situations with tight time constraints, set priorities, and meet deadlines.
  • Ability to organize and direct multiple activities simultaneously.
