About The Position

Fairmont Hotels & Resorts is seeking an Executive Administrator to oversee Elite guest stays, coordinate corporate and ownership requests, and drive guest-centric experiences across all hotel outlets. This role involves working with departmental managers to implement service processes, seeking innovative ways to provide anticipatory service, and ensuring seamless execution across departments. The position also includes managing customer feedback from various platforms, facilitating employee recognition based on guest feedback, and assisting in the planning and execution of guest and employee relations events.

Requirements

  • Excellent computer skills, including a working knowledge of MS Word, Excel, and Power Point, and hospitality systems.
  • Background in food and beverage and/or rooms in a hotel environment.
  • Strong administrative background, preferably in a similar role in a luxury hotel.
  • Excellent verbal and nonverbal communication skills and interpersonal skills.
  • Ability to work well under pressure.
  • Ability to multitask.
  • Strong detail-oriented and organizational skills.
  • High level of professionalism and integrity while preserving the confidentiality of the office.
  • Attention to detail and ability to multitask in a dynamic and open work environment.
  • Interest and ability to provide outstanding service to internal and external customers and suppliers, and anticipate their needs.
  • High level of vocabulary in English, and ability to write in a stylish, professional manner, with excellent grammar.
  • Previous managerial experience in a hospitality and/or customer relations or a similar role required.
  • College diploma in hotel management, administration or related field.

Responsibilities

  • Oversee Elite guests stays, including pre-arrival arrangements, room allocation, meet and greet, and ongoing communication.
  • Determine amenities for Elite guests and coordinate with the management team.
  • Coordinate and take ownership of all corporate and ownership requests and bookings.
  • Seek out opportunities for guest-centric experiences in all hotel outlets.
  • Work with departmental managers to implement processes for executing guest-centric experiences.
  • Look for new and innovative ways to provide anticipatory service.
  • Coordinate among all departments for seamless execution of service.
  • Manage and respond to customer comments received via electronic questionnaires, social networks, and other platforms.
  • Facilitate the recognition of employees based on guest feedback.
  • Coordinate and assist in the planning and execution of guest and employee relations events.
  • Support the management of the General Manager's calendar, including booking meetings.
  • Perform administrative tasks such as emailing, typing, copying, faxing, sorting mail, coordinating appointments, and answering telephones according to Fairmont standards.
  • Assist in reviewing guest reservation requests and correspondence via the Executive Office, using property management systems and revenue management principles to make rate and availability decisions.
  • Handle guest complaints in the absence of the General Manager and Hotel Manager, informing them of actions taken and follow-up required.
  • Assist with follow-ups to guests on behalf of the General Manager.
  • Provide a variety of reports and maintain multiple informational databases.
