About The Position

Provide administrative support to multiple members on the executive leadership team by independently managing complex calendars, travel and communications, preparing and analyzing reports, coordinating cross-functional priorities, and leading key administrative processes. This role exercises sound judgment, maintains strict confidentiality, and proactively identifies opportunities to improve office and business operations.

Requirements

  • High School/GED required, BA/BS Degree preferred
  • 4+ years of progressively responsible executive administrative or related experience required
  • Demonstrated experience planning, managing, and executing complex events and meetings (multiple stakeholders, budgets, and vendors) required
  • Demonstrated experience providing executive-level support and/or coordinating facility/office operations required
  • Advanced proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams) required
  • Ability to learn new software programs to discern most efficient ways to work
  • Excellent verbal and written communication skills, including the ability to draft executive-ready correspondence.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines with minimal direction.
  • Demonstrated judgment, discretion, and ability to handle highly confidential information.
  • Ability to build effective working relationships across levels and departments and communicate with tact and professionalism.
  • Creative & proactive problem-solver with a continuous improvement mindset; comfortable navigating ambiguity and change.

Responsibilities

  • Serve as a primary administrative partner to executive leadership, anticipating needs, prioritizing competing demands, and ensuring timely follow-through on commitments.
  • Independently manage complex executive calendars (multiple time zones and stakeholders), including proactive conflict resolution, agenda preparation, travel and meeting logistics.
  • Assist with small & large departmental meetings and company events end-to-end, including vendor coordination, contracts, budgets, catering, and post-event feedback.
  • Own administrative processes and office procedures; create documentation, streamline workflows, and implement improvements to increase efficiency and compliance.
  • Manage purchasing and invoice processing for administrative and office needs, including requisitions, expense reconciliation, and tracking against department budgets (as applicable).
  • Draft, proofread, and disseminate executive communications; serve as a point of contact for internal and external stakeholders while maintaining a high degree of professionalism and confidentiality.
  • Maintain regular, reliable attendance and punctuality, including being present and ready to work at the start of the scheduled shift.
