As an Executive Administrative Assistant, you will provide high-level, confidential administrative support to senior leadership, playing a key role in ensuring operational efficiency and executive effectiveness. This position requires exceptional organization, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Associate’s degree or equivalent experience required; Bachelor’s degree a plus
  • 5+ years of executive administrative support experience at a senior leadership level
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); Access experience a plus
  • Exceptional written, verbal, and interpersonal communication skills
  • Strong organizational and time-management skills, with the ability to prioritize and meet deadlines independently
  • Expertise in managing complex calendars and coordinating high-level meetings and travel
  • High level of professionalism, discretion, and attention to detail
  • Proven ability to manage multiple priorities and adapt in a dynamic environment

Responsibilities

  • Manage and maintain complex executive calendars, scheduling meetings and coordinating logistics with precision
  • Prepare and edit correspondence, reports, presentations, financial documents, and other materials using Microsoft Office tools
  • Serve as a gatekeeper by reviewing incoming communications, prioritizing requests, and directing them appropriately
  • Handle and distribute incoming correspondence, including emails, calls, and other communications
  • Maintain and organize corporate records, documents, and filing systems
  • Draft responses to routine inquiries and follow up on action items as needed
  • Coordinate all travel arrangements, including itineraries, accommodations, and expense reporting
  • Prepare meeting agendas, coordinate logistics, and support meeting execution
  • Perform general office management duties, including supply ordering and basic bookkeeping tasks
  • Deliver exceptional internal and external customer service while maintaining confidentiality at all times
