About The Position

The Executive Administrative Assistant provides executive administrative support to the Vice President & General Manager of the Product Delivery Center and the Senior Director & General Manager of Operations for the Product Delivery Center as well as several other Directors on the Product Delivery Center leadership Team. This role requires a highly motivated, self-reliant, focused, and exceptionally organized individual who performs a wide range of administrative functions under minimal direction. The ideal candidate exhibits a positive can-do attitude, sound decision-making, and excellent problem-solving skills. They are resourceful, anticipate needs, and take initiative to find workable solutions.

Requirements

  • Bachelor's degree with at least 4 years of executive administrative support experience OR an Associate's Degree (or other 2-year post high school training) with at least 6 years of executive administrative support experience.
  • Advanced proficiency in Microsoft Office 365 (Outlook, PowerPoint, Excel, Word, etc.).
  • Experience interacting with all levels of an organization.
  • U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract.

Responsibilities

  • Performing administrative and clerical tasks with high attention to detail.
  • Managing calendars while ensuring that scheduled meetings include detailed agendas and all necessary logistics are accommodated (i.e., meeting locations are appropriate for equipment needs).
  • Managing schedules to provide advance notice on important meetings to support appropriate preparation.
  • Screening/fielding incoming inquiries, scheduling requests, and effectively managing incoming and outgoing communications in an efficient and confidential manner.
  • Providing timely responses, as well as directing items to appropriate individuals for action and/or informational purposes.
  • Managing electronic distribution lists and organizational charts, confidential information and material on a regular basis.
  • Management and organization of executive email, supplies for the department, ordering and organizing as necessary across the Middletown Engine Center facility.
  • Maintenance of printed and posted material and updating of digitally presented material on displays across the Middletown Engine Center.
  • Processing and tracking of invoices, planning and arranging significant domestic and international travel, and processing and submitting expense reports in a timely manner.
  • Arranging catering for internal and external meetings.
  • Partnering with the Product Delivery Center Customers and Events manager in support of customer, partner, and supplier visits coordination.
  • Formatting of presentations and materials for various reviews.
  • Creating Word, Excel, and PowerPoint documents as required.
  • Partnering with Operations, Quality, Engineering, and Programs Leadership and their Executive Administrative Assistants to establish clear communication and coverage for one another, as required.
