About The Position

Join Nationwide’s Technology team as an Executive Administrative Assistant, supporting three Executive Leaders and their teams in Columbus, Ohio. This role is crucial for enabling a Fortune 100 company to drive innovation and adopt new technologies. You will be responsible for orchestrating daily operations, ensuring smooth functioning, and supporting the dynamic organization. This is a hybrid position, requiring a minimum of 3 days per week in the Columbus office, with flexibility for up to 5 days as needed.

  • Strong communication skills to interact with all levels of leaders, associates, and external contacts.
  • Ability to proofread own work and work of others for content and format accuracy.
  • Intermediate mathematical calculation skills.
  • Ability to build effective business relationships.

Nice To Haves

  • Some undergraduate-level coursework beneficial.
  • Administrative professional certification(s) such as Certified Administrative Professional (CAP) or Certified World Class Assistant (CWCA) are a plus.
  • Nationwide experience is highly desirable.

Responsibilities

  • Orchestrate the daily operations for 1VP and 2 AVP's, providing top-notch support.
  • Support the dynamic organization.
  • Ensure everything runs smoothly, acting as the backbone of operations.
  • Perform a wide variety of confidential, detailed, and complex administrative functions.
  • Coordinate meetings and make business and travel arrangement decisions for leaders and their teams.
  • Plan, organize, and schedule own work.
  • Serve as an informal mentor to other administrative assistants in the office.
  • Focus on both daily and longer-range calendars for multiple leaders and teams.
  • Manage leaders' personal calendars as directed.
  • Coordinate travel plans for leaders and team, making mid-trip changes quickly when required.
  • Compile information for reports and presentations.
  • Screen communications for action items and due dates, bringing key items to the leader's attention.
  • Initiate necessary actions, such as follow-ups and prioritizations.
  • Draft responses for executive review, implementing their style into all communications.
  • Provide assistance with office procedures or processes that help the team be more productive and efficient.
  • Monitor departmental expenses and process expense reports in a timely manner.
  • Monitor expense reports submitted by executives and staff for accurate reporting.
  • Manage budget for meeting planning.
  • Conduct quality checks on invoices/accounts payable.
  • Input travel expenses and other expenses for payment; review and pass to office budget coordinator.
  • Keep current on Nationwide procedure changes, Human Resources policy changes, and business environment impacts.
  • Participate in special projects as assigned.
  • Perform other responsibilities as assigned.
