About The Position

We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to business leaders and teams in a fast-paced, global environment. This role is responsible for managing executive calendars, coordinating meetings and events, facilitating communication across international teams, and ensuring seamless day-to-day business operations. The ideal candidate is a detail-oriented professional who thrives on multitasking, excels at managing competing priorities, and serves as a trusted partner in supporting leadership, driving organizational efficiency, and coordinating key administrative, training, and audit activities. Strong communication skills, discretion, and the ability to collaborate across global time zones are essential for success in this role.

Requirements

  • An Associate degree in a related field or advanced business courses is required.
  • Minimum of 3-5 years of experience in an administrative role in a business environment.
  • Demonstrated ability to be proactive and self-directed.
  • Advanced skills with diverse software packages, including MS Office Suite (Microsoft Word, Excel, PowerPoint, Teams, and Outlook).
  • Excellent understanding of general office practices.
  • Excellence verbal and written communication skills, along with strong time management, priority setting and execution skills.
  • High level of confidentiality with sensitive information.
  • Professional interaction with all levels of the organization.
  • Ability to work in a fast-paced team environment with minimal supervision and solid analytical skills.

Nice To Haves

  • A Bachelor’s degree in Business, International Affairs, or Communications is preferred.
  • 5-10 years of experience in an administrative role supporting executive management in a global organization is strongly preferred.

Responsibilities

  • Manage key stakeholder calendar, including scheduling and resolving conflicts proactively.
  • Oversee email management, including filtering and assisting in responses when necessary.
  • Plan and manage executive visits, including itineraries and accommodations.
  • Handle monthly expense reports and reconcile credit card statements.
  • Assist with professional correspondence, PowerPoint presentations, and reporting as requested.
  • Interface with other Executive Assistants (locally and internationally) to clarify, support, and expedite requests.
  • Communicate regularly across global time zones.
  • Coordinate arrangements for key on-site and off-site meetings, including conference rooms, catering, hotel arrangements, and conference calls.
  • Organize and manage events such as Department All Associates Meeting (AAM) and others.
  • Proactively initiate and organize meeting agendas and update OPL as needed.
  • Participate in select meetings, record minutes and action items, and follow up as required.
  • Manage purchasing card and submit monthly summaries for catering and events.
  • Administer or support global and local distribution lists within Outlook.
  • Serve as the editing owner for Bosch Global Network (BGN) pages related to the business unit(s).
  • Manage Teams channels and email cascades for the dissemination of information.
  • Create and maintain organizational charts for the business unit using PowerPoint.
  • Support special projects as requested.
  • Partner with other assistants to ensure efficiency and backup arrangements.
  • Manage training schedules and logistics for responsible BU or sales team, acting as a proxy when necessary.
  • Support the preparation of audits and if requested participate as well as follow up eventually action items.
