About The Position

Tarantino Properties is looking to add an Executive Administrative Assistant to join their growing company in Houston, Texas. Tarantino Properties is a full-service real estate company specializing in income producing real estate, founded in 1980. They provide a full complement of property management, brokerage, leasing, and renovation services for commercial, residential, and senior living properties throughout the United States. The Executive Administrative Assistant provides high-level administrative and operational support to senior leadership within the Multifamily Division of a full-service real estate company. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment. The ideal candidate is proactive, detail-oriented, and experienced in supporting executives in real estate, property management, or related industries.

Requirements

  • Bachelor’s degree preferred or equivalent experience
  • 3–7+ years of experience supporting senior executives, preferably in real estate, multifamily, or professional services
  • Demonstrated ability to assist with or prepare operating budgets
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
  • Experience with real estate software platforms (e.g., OneSite, Yardi, or similar) is a plus
  • Exceptional organizational, time management, and multitasking abilities
  • Strong written and verbal communication skills
  • High level of professionalism and ability to handle confidential information with discretion
  • Detail-oriented with strong problem-solving skills
  • Ability to work independently and collaboratively in a team environment

Nice To Haves

  • Familiarity with multifamily operations
  • Experience supporting multiple executives or a team
  • Ability to analyze basic financial or operational reports
  • Project coordination or project management experience
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)

Responsibilities

  • Provide direct administrative support to executives, including calendar management, meeting coordination, and travel arrangements
  • Prepare, edit, and format correspondence, presentations, reports, and internal/external communications
  • Coordinate and manage meetings, including agendas, materials, minutes, and follow-up action items
  • Assist with multifamily portfolio reporting, including compiling operational and financial data
  • Maintain and organize confidential files, records, and documentation
  • Support transaction processes such as acquisitions, dispositions, financing, and due diligence
  • Track key deadlines, deliverables, and project milestones across multiple initiatives
  • Handle expense reports, invoice processing, and budget tracking as needed
  • Assist with special projects, research, and strategic initiatives within the multifamily division
  • Ensure smooth day-to-day office operations and anticipate executive needs
