In this role, the Executive Administrative Assistant will provide advanced administrative support to the Vice President, Quality, Advanced Therapies, as well as the Quality Platform – Advanced Therapies leadership team. This role is critical to ensuring seamless operations, maintaining a professional and digitally enabled environment, and serving as a trusted partner who anticipates needs and drives execution. The Executive Administrative Assistant will operate with minimal supervision, exercise sound judgment, and manage complex priorities in a fast-paced, global organization while enabling the success of senior leadership.

Requirements

  • High school diploma or equivalent is required.
  • A minimum of 4 years of experience in an administrative capacity supporting senior management and high school diploma is required.
  • Strong organizational skills and attention to detail is required.
  • The ability to prioritize, maintain confidentiality, and operate with patience and integrity in a complex, high-profile, and rapidly changing environment is required.
  • Excellent communication skills are required.
  • Strong leadership, interpersonal, teamwork, analytical and problem-solving skills are required.
  • Sound judgment and discretion with independent ability to assess and resolve complex situations and shift priorities as needed.
  • Ability to anticipate executive needs and collect or prepare information for executive review and action is required.

  • Experience supporting a large organization is highly desired.

Responsibilities

  • Manage a dynamic global calendar and prioritize commitments with precision.
  • Coordinate complex domestic and international travel and related logistics.
  • Serve as liaison between the VP and internal/external stakeholders, ensuring timely communication and follow-up.
  • Maintain digital platforms such as SharePoint, Teams, and other collaboration tools for document management and communication.
  • Prepare high-quality presentations, reports, and data visualizations.
  • Handle sensitive information with the highest level of confidentiality and accuracy.
  • Organize and execute large-scale U.S. and global meetings and events, including hybrid formats.
  • Manage agendas, action items, and concise meeting summaries.
  • Process invoices, expense reports, and procurement requests using current systems (e.g., Ariba, Concur).
  • Manage office resources and vendor relationships to ensure operational continuity.
  • Support special projects and initiatives aligned with organizational priorities.
  • Draft and edit correspondence and portal communications.
  • Manage distribution lists and digital communication channels.
