About The Position

The Executive Admin Assistant, Administrative Services position will perform and deliver on routine and progressively more non-routine assignments for their assigned areas of responsibility independently in accordance with established procedures and guidelines. They will provide a full range of administrative support for assigned Corporate Leadership Group (CLG).

Requirements

  • High School diploma or GED or minimum associate degree in lieu of required experience
  • 3 - 5+ years of clerical and/or administrative support experience in a complex corporate environment supporting senior and/or executive management aligned with the responsibilities for this position
  • Demonstrates strong written and verbal communication skills
  • Ability to work with others in a team environment
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Demonstrated solid relationship management skills with internal and/or external clients (e.g. management, peers, colleagues, customers).
  • Demonstrates strong interpersonal skills with a collaborative style

Responsibilities

  • Communicating and/or coordinating assigned CLG member(s) instructions and/or desires with various departments and/or internal/external stakeholders.
  • Furnishing and obtaining information from other CLG members and/or external stakeholders which may be confidential in nature.
  • Preparing assigned CLG members for meetings by creating, gathering, and/or organizing material, identifying key questions to be prepared to answer and preparing reference material in an effective structure.
  • Preparing correspondence, memorandum, and documents, which may be confidential in nature for the CLG member(s) review and approval.
  • Preparing complex reports and presentations including preparing special reports through conducting research to add value to material and/or gathering and summarizing information and/or data.
  • Proofreading complex documents, presentations, and reports for grammatical and typographical errors.
  • Receiving and screening telephone calls, letters, and/or visitors for the assigned CLG member(s) including, answering routine questions, obtaining and furnishing information to save CLG member(s) time.
  • Greeting and directing CLG member’s visitors and acting as primary resource for internal and external contacts, facilitating a professional image of LFG.
  • Managing assigned CLG member(s) calendar and schedule meetings, conferences, and appointments including managing availability and commitments to ensure clear priorities and optimum use of time.
  • Arranging and coordinating assigned CLG member(s) travel including preparing itineraries.
  • Planning, organizing, and facilitating special projects requested by assigned CLG members.
  • Planning and coordinating special events as needed.
  • Organizing and maintaining assigned CLG member(s) correspondence and records, following up on pending matters as needed.
  • Sorting, reviewing, and distributing assigned CLG member(s) mail.
  • Entering assigned CLG member(s) expenses reports into appropriate systems.
  • Processing invoices for prompt payment as needed.
  • Ordering supplies and coordinating routine maintenance and repairs to office equipment as needed.
  • Provides coverage for corporate reception during lunch or paid time off (PTO) as needed.
