With over 92 years in business and rapid growth, NASB is seeking new team members eager to grow with us! We are currently looking for a Executive Assistant to join our Administration team. Job Summary The Executive Administrative Assistant to the CEO is a trusted partner to executive leadership, providing high-level administrative, operational, and communications support in a fast-paced, highly confidential environment. This role supports the CEO directly while also contributing to marketing, internal communications, vendor coordination, and special projects. The position includes oversight of corporate office operations, including facilities coordination and front desk support. The ideal candidate is pragmatic, emotionally intelligent, and business-minded- able to proactively manage priorities with professionalism, discretion, and precision while demonstrating sound judgment. This role requires strong self-awareness, confidence, excellent prioritization skills, and the ability to operate independently while remaining tightly aligned with CEO direction and expectations.

Requirements

  • Bachelor’s degree or equivalent experience in business management, communication, marketing, or related field required.
  • 3–5+ years of experience working with leadership teams and/or managing projects
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Matter-of-fact, confident, pragmatic, and results-oriented approach
  • High emotional intelligence with strong professional judgment
  • Strong prioritization skills with the ability to balance urgency, speed, and precision
  • Sound judgment in determining what requires immediate executive attention versus what can be handled independently or addressed later
  • Exceptional organizational, time management, and multitasking skills
  • Ability to ask direct, clarifying questions when priorities or expectations are unclear rather than making assumptions
  • Proactive problem solver with the ability to adapt quickly in a dynamic environment
  • Clear, polished written and verbal communication abilities
  • Work Schedule – In-office Monday through Friday, flexibility to adjust hours as business needs require.
  • Extended Hours – Availability for early or late adjustments to business hours to meet client needs.
  • Ability to lift/carry up to 25 pounds occasionally.
  • Ability to remain stationary (sitting or standing) for prolonged periods.
  • Ability to conduct keyboard/computer work for extensive periods.
  • Ability to communicate clearly (understand/be understood) with customers in person or over the phone/computer.

Nice To Haves

  • Experience in financial services, legal, and/or formal project management preferred
  • Experience with marketing, communications, or public relations functions is a big plus
  • Demonstrated experience supporting executive leadership teams preferred

Responsibilities

  • Provide comprehensive administrative support to the CEO, including meeting coordination, logistics involving internal departments and external parties, and timely follow-ups
  • Serve as a key liaison between the CEO, executive leadership, board members, and external stakeholders
  • Lead or support special projects and cross-functional initiatives on behalf of the CEO and executive team
  • Track and support executive priorities stemming from strategic planning initiatives, ensuring consistent follow-through
  • Prepare executive presentations, reports, correspondence, and briefing materials. Assist with executive and management meeting preparation, materials coordination, documentation, and logistics as needed
  • Capture meeting minutes for executive- and committee-level meetings and manage follow-up actions
  • Support marketing and communications initiatives, including internal messaging, corporate events, client engagement, brand-aligned materials, and other duties as assigned by the Chief Marketing Officer
  • Support executive engagement in internal corporate events and leadership activities
  • Provide oversight and coordination of corporate office operations, including facilities management and vendor relationships
  • Support front desk operations, including receptionist oversight and backup coverage as needed
  • Ensure a professional and welcoming experience for visitors and external partners at the corporate office
