About The Position

Premier Anesthesia, a trusted anesthesia practice management partner with over 22 years of experience, is seeking an Executive Administrative Assistant to join their growing team. This role supports the company President and provides project management oversight for company-wide initiatives, including cross-functional project implementations and strategic process improvement. The position is office-based in Alpharetta and requires close collaboration with the PA leadership team. The ideal candidate is highly motivated, detail-oriented, responsible, organized, a fast learner, and possesses advanced computer skills (Excel, PowerPoint), adaptability, flexibility, excellent interpersonal skills, project management experience, and the ability to maintain confidentiality. Requirements

  • Bachelor's degree or equivalent experience.
  • 10 years of administrative experience.
  • 5 years of executive assistance and/or project management experience.
  • Advanced MS Office Suite skills, including Teams.
  • Experience with Salesforce, SharePoint, Workday.
  • Strong organizational and quality management skills.
  • Ability to handle multiple tasks and priorities.
  • Project management skills and design of workflow mapping.
  • Ability to maintain a high level of professionalism and keep information confidential.

Nice To Haves

  • Project management certification strongly preferred.
  • Notary public certification.
  • Experience with a project management software platform, such as Asana or Smartsheets is strongly preferred.

Responsibilities

  • Manage projects related to business and operations improvement initiatives as directed by the President.
  • Support project management methodology to improve workflow mapping of company processes and procedures.
  • Support RFP processes, interfacing with vendors and internal departments for successful vendor choice and project implementation.
  • Assist the VP, Finance and President with planning and managing budgets, including annual, quarterly, and monthly expense tracking and key performance indicators.
  • Gather and analyze data, prepare reports, create Gantt Charts and MS Excel spreadsheets.
  • Utilize and update Excel and company tracking tools to prioritize and coordinate workflows.
  • Produce deadline-driven results and support senior staff in providing timely and accurate responses to client questions.
  • Build presentations for reporting, business analysis, and other internal/external deliverables.
  • Create and manage comprehensive processes to track timelines and deliverables.
  • Provide direct administrative support to the President, including scheduling, calendar management, travel arrangements, expense reports, and communications.
  • Meet regularly with the President to plan, create, prioritize, and maintain objectives in an integrated management system.
  • Work with the President on company-wide communications and MarCom requests/projects.
  • Act as system administrator, managing access and privileges for various systems.
  • Manage the office organization system, including digital filing, contract maintenance, and other key documents.
  • Work with the President and HRBP on company events and employee recognition/incentive programs.
  • Be involved in the design, creation, and automation of approval loops for company processes.
  • Assist with special operations and projects as needed.
  • Provide general office management and administrative support, including welcoming visitors, directing calls, managing break room music, ordering supplies, and mail distribution.
  • Prepare and distribute executive leadership team minutes and other deliverables.
  • Work with HRBP and Talent Acquisition to coordinate interviews and welcome new hires.
  • Plan corporate events, leadership events, and annual calendar recurring events.
  • Update contacts and articles in the database, export information, merge letters, create contact lists, produce labels, and prepare group emails.
  • Prepare, edit, and assemble documents such as memos, letters, and reports; bind copies of presentations.
  • Maintain effective business relations with customers and internal/external contacts.
  • Resolve customer requests, complaints, and problems or refer them appropriately.
  • Order business cards, company banners, apparel, and gifts.
  • Submit maintenance and IT tickets to JH shared services.
  • Provide general office support for seasonal décor and periodic changes.
