About The Position

The position of Executive Administrative Assistant for the Center for Organ Recovery & Education (CORE) is one of moderate to high responsibility. The Executive Administrative Assistant is responsible to and works under the direction of the Director of Clinical Outreach and Partnerships, Corporate Attorney, and the Executive Assistant. As with all CORE employees, however, ultimate supervisory responsibility is by the President/CEO. They will perform administrative and support activities relating to correspondence, meetings, travel, event coordination, contract and legal support, donor and hospital communications, and multi-department operational logistics, oversee and work closely with the Director of Clinical Outreach and Partnerships and Corporate Attorney on special projects and possess the ability to work flexible hours to coordinate projects, activities, and events. The Executive Administrative Assistant for CORE is responsible for preparing and coordinating Department meetings, Departmental functions and responsibilities, including, but not limited to travel arrangements, departmental meeting minutes, memorial card support, front desk support, Governmental support, legal support, and data entry. Responsibilities also include: End-to-end coordination of hospital-facing programs, donor ceremonies, and award luncheons High-volume, time-sensitive correspondence related to donor families, hospitals, legal matters, and sentinel events Contract management tracking, compliance monitoring, and coordination with Legal and hospital partners Operational ownership of large-scale inventory and logistics programs Cross-department administrative and technical support to ensure continuity of operations High level of confidentiality and sensitivity is required. The ability to use critical judgment is essential and strong interpersonal skills are crucial. They are responsible for the promotion of a positive workplace that assures the success of the operations of CORE.

Requirements

  • Post high school education equivalent to a certificate program or associates degree
  • Excellent typing skills with a minimum rate of seventy (70) words per minute
  • Ability to accurately transcribe recordings
  • Minimum of five (5) years’ office experience, preferably in a medical setting
  • Good working knowledge of medical terminology
  • Strong computer experience with a familiarity with different types of computer hardware and software
  • Detail-oriented
  • Organized
  • Strong command of the English language
  • Ability to exercise sound judgment, independent judgment, and discretion
  • High level of confidentiality and sensitivity
  • Ability to use critical judgment
